Job Description

We are seeking a seasoned Recoveries and Billings Analyst with over 5 years of experience to support our growing retail portfolio across the U.S. and Canada.

The successful candidate will be primarily responsible for the oversight and execution of operating cost and realty tax recoveries across the retail portfolio. This includes leading annual CAM and tax reconciliations, maintaining recoverable expense pools and denominators, validating lease-specific caps and exclusions, and ensuring tenant recovery statements are accurate, supportable, and issued in accordance with lease terms. The role will also oversee recurring tenant billings, including base rent and additional rent charges, ensuring all revenue is correctly reflected within the property management system.

The position requires strong lease interpretation skills, financial discipline, and a controls-oriented mindset. The successful candidate will work closely with Property Management, Leasing, Legal, and Accounting teams to resolve billing inquiries, support tenant audits, and minimize revenue leakage. As the organization advances its Yardi platform capabilities, the role will support refinement of recoveries and billing workflows within the system, contributing to data integrity, automation efficiency, and standardized processes across the portfolio.

Key Responsibilities
  • Lead the annual CAM and realty tax reconciliation process across an assigned retail portfolio, ensuring all recoveries are calculated in accordance with lease provisions, including caps, exclusions, gross-ups, and administrative fees
  • Maintain and validate recoveries configuration within Yardi Voyager, including expense pools, denominators, allocation methodologies, and recovery structures to ensure system-driven accuracy
  • Review general ledger expense coding and pool mapping to confirm recoverable costs are properly captured and allocated, coordinating corrections where required
  • Prepare, review, and issue detailed tenant recovery statements and supporting schedules, ensuring calculations are accurate, complete, and audit-ready
  • Calculate, reconcile, and validate percentage rent in accordance with lease terms, including review of tenant sales reports and break point calculations
  • Oversee tenant direct chargebacks, including utilities, insurance, maintenance, and other recoverable items, ensuring alignment with lease obligations
  • Perform detailed analysis of billings and collections, identifying discrepancies, unapplied cash, short payments, and potential revenue leakage
  • Oversee recurring tenant billings within Yardi, including base rent and additional rent components, ensuring all charges are accurately reflected
  • Process and validate CPI adjustments, rent steps, credits, abatements, and other lease-driven billing events
  • Review rent rolls, aging reports, and revenue summaries to ensure accuracy and completeness of recorded income
  • Respond to tenant inquiries, disputes, and audit requests with clear financial support and reconciliation detail
