Office Assistant 2

Duties Description

The Office Assistant 2 position may supervise 2 or more Office Assistant 1 or lower-level staff; or directly perform the more difficult or complicated clerical processing and mail/storehouse support work. You would work within a mail receipt, mail distribution, storage, or stores operation. Positions of Office Assistant 2 may require the ability to routinely lift and/or carry heavy items and the ability to routinely reach, bend, stand and walk for long periods of time.

The position requires computer knowledge, an aptitude for working with numbers, the ability to multi-task, organizational skills, and the ability to work well with others.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Receiving, processing, sorting, and distribution of all campus faculty and staff mail
  • Inform and train campus community on changes in USPS guidelines and regulations.
  • Complete campus mailroom and vehicle recharges
  • Cross train in shipping & receiving.
  • Monitor balances on the postage meter, bulk mail, business accounts, and United States Postal Service (USPS) fees, and work with Business Office to ensure timely replenishment of balances.
  • Serve as main contact with the USPS for the campus.
  • Utilize USPS regulations and rates to determine cost effective solutions for campus mailings.
  • Supervise and train the student workers, mailroom volunteer, and support staff.
  • Order supplies for the mailroom
  • Resolve bulk mail and business reply billing discrepancies with the local postal office and third-party bulk mail vendors.
  • Respond and resolve campus customer complaints.
  • Provide support and backup for Shipping and Receiving Department.
  • Ensure the campus mailroom is compliant with USPS regulations.
  • Maintain various postal records and report chargeback information to the business office.
  • Utilize mailroom equipment.
  • Provide recommendations for mailroom process flow improvement.
  • Research all misdirected mail, forward or return mail following postal regulations.
  • Receive packages from the campus community for UPS, Fed Ex, DHL
  • Provide excellent customer service.

Minimum Qualifications

Promotion:

One year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 6 or higher.

Open Competitive:

One year of clerical experience.

Competitive:

You must be reachable for appointment on the current Civil Service eligible list used for filling this title.

Transfer:

Candidates must have one year of permanent competitive, non-competitive or 55-b/c status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1, 70.4, or 52.6 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Additional Comments

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title.

At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.

If you are currently a New York State employee serving in a permanent competitive qualifying title and eligible for a transfer via Section 70.1 of the Civil Service Law, you may be appointed to this title as a permanent competitive employee.
