Role Description
This is a full-time on-site role in Birmingham, AL, for an Executive Assistant to the Chief Executive Officer. The Executive Assistant will be responsible for managing executive administrative tasks such as maintaining the CEO's schedule, coordinating meetings, preparing and managing expense reports, and providing high-level executive support. Additional responsibilities include handling correspondence, organizing and prioritizing workflow, and ensuring the smooth execution of day-to-day administrative operations for the CEO.
Key Responsibilities- Manage complex executive calendar and prioritize competing demands
- Coordinate Board and Executive Team meetings, including agendas and minutes
- Prepare reports, presentations, and executive correspondence
- Serve as the primary point of contact for the President/CEO, handling confidential matters with discretion
- Support organizational initiatives, stakeholder outreach, and special projects
- Oversee office operations and information systems coordination
- Executive support experience at the C-suite level; nonprofit Board experience preferred
- Strong commitment to diversity, equity, and inclusion
- Advanced proficiency in Microsoft Office and presentation design
- Excellent written and verbal communication skills
- Exceptional organization, attention to detail, and time management
- Professional, discreet, and able to handle confidential information with integrity
- Sound judgment with the ability to prioritize, manage multiple projects, and respond with urgency in a fast-paced environment
- BS or BAdegree in business, office administration, or a related field is preferred; a High School Diploma or Equivalent is required.
- Work location:
In-person. - 10 years of relevant experience
- 5 years of experience as an Executive Assistant or Paralegal
