General Function

The Receptionist will be responsible for assisting customers calling, emailing, or visiting the Greater Birmingham Humane Society. Compassionate care of animals and customer service skills are a critical part of this position.

Duties
  • Answers multi-line telephone system, takes accurate messages, screens and directs calls to the appropriate person or department in an efficient manner.
  • Secretarial/reception responsibilities including but not limited to copies, preparing documents, sorting, filing, mailing as needed.
  • Responsible for courteous, polite customer service.
  • Responsible for maintaining a neat and organized desk and surrounding areas.
  • Answer and accept all GBHS inquiries in a polite, timely and courteous manner whether on the phone, email or in person inquiries.
  • Answer, screen and forward incoming calls warmly while ensuring to give the most up‑to‑date and correct information and record messages with date, time, name and number.
  • Promptly respond to email inquiries with correct data.
  • Receive and sort daily mail and deliveries as needed.
  • Help coordinate with adoption staff and provide assistance such as scheduling appointments as needed.
  • Performs other job duties as required.
  • Secretarial/clerical duties on an as‑needed basis from Operations and Administration.
  • Maintains awareness of industry standards and innovations through publications.
Qualifications
  • High school diploma or GED; and 1–2 years related customer service experience and/or training; or equivalent combination of education and experience.
  • Must be able to work weekdays and weekends.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively communicate information in one‑on‑one situations to callers, visitors, and other employees of the organization.
  • To perform this job successfully, an individual should have knowledge of Microsoft Office and the ability to learn new software.
  • The employee must have close vision ability.
  • Phone operator: 1 year preferred.
  • Skilled in time management.
  • Professional appearance.
  • Ability to make decisions and perform accurate work under pressure.
  • Must be a team player.
  • Must communicate well, both written and verbal.
  • Ability to organize, multitask, and prioritize.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Basic understanding of animal welfare; minimal computer skills; meets minimum general requirements for GBHS employment as set forth in GBHS employee handbook.
Physical Requirements
  • Ability to lift and carry a minimum of 25 pounds.
  • Ability to work well in a team environment.
  • Ability to work weekends and evenings as necessary.
  • Meets minimum general requirements for GBHS employment as set forth in GBHS employee handbook.
  • Must be able to work with and around animals of all types (cats, dogs, rabbits, birds, etc.).
  • Exposure to conditions such as animal feces, urine, etc and foul odors.
  • May be exposed to animal dander, parasites, and infectious diseases that can be transmitted by animals.
  • Must be able to work in an environment that provides humane euthanasia to animals.
Work Schedule

Typically Tuesday - Friday from 8:00am - 5:00pm with the ability to cover other shifts as needed.
