Job SummaryThe role holder will provide administrative support to the Head of Transformation Delivery within the LAA. Responsibilities include diary management, meeting coordination, note taking, administrative support to Senior Management, business support to other areas (performance, budget, travel, governance, estates), and support for resourcing and recruitment activities. Discretion and confidentiality are essential.
Key Responsibilities- Effective management of electronic diary and correspondence for the Head of Transformation.
- Effective communication with internal and external stakeholders including Senior Leaders.
- Organising meetings, booking rooms, venues, travel, accommodation, and equipment.
- Attending meetings, preparing agendas and taking minutes.
- Tracking and monitoring action points, ensuring resolution and deadlines are met.
- Providing additional administrative and secretarial support for other Senior Managers.
- Co‑ordinating activity across the Senior Management Team.
- Managing travel bookings for the Transformation Team, ensuring compliance.
- Producing management information and recommendations for decisions.
- Prioritising routine work and dealing with correspondence, including Freedom of Information requests.
- Preparing documents, papers, reports and presentations on an ad‑hoc basis.
- Creating and maintaining administration processes and systems.
- Managing financial payments and spend, reporting issues to the Head of Transformation.
- Driving change and identifying areas of improvement.
- Collaborating with other Diary Managers to share best practice.
- Maintaining the Transformation Team’s annual leave calendar.
- Occasionally providing cover for the Chief Executive’s Office.
- Ability to work effectively to tight deadlines and manage multiple tasks.
- Good working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
- Effective time management and organisational skills.
- Ability to handle sensitive and confidential information.
- Experience of providing administrative or business support.
- Experience of producing clear, accessible reports.
- Ability to work independently and collaboratively as part of a team.
- Enjoys working as part of a team and independently in a fast‑changing environment.
