The Part-Time Registrar and Academic Records Coordinator supports the MVP School for Veterinary Professionals by maintaining accurate student academic records, enrollment documentation, course registration records, transcript documentation, academic status updates, and compliance‑related student record files. This role helps ensure that student records are complete, accurate, secure, and maintained in accordance with school policies, student privacy expectations, accreditation requirements, and institutional procedures.
The Registrar and Academic Records Coordinator works closely with the Provost/Program Director, Associate Dean of Faculty and Student Services, faculty, student support staff, and appropriate internal departments to support student enrollment, academic progression, documentation, and reporting. This position requires strong attention to detail, confidentiality, accuracy, organization, and comfort working in student information systems and learning management systems.
Key Responsibilities- Maintain accurate and secure student academic records, including enrollment documents, course registrations, grades, academic status changes, and transcript documentation.
- Support student registration, course enrollment, progression tracking, withdrawals, leaves of absence, and other academic record updates in accordance with school policies.
- Monitor student records for completeness, accuracy, and compliance with institutional, accreditation, and privacy requirements.
- Prepare and maintain documentation needed for internal reporting, accreditation review, student progress tracking, and administrative decision‑making.
- Coordinate with the Provost/Program Director, Associate Dean of Faculty and Student Services, faculty, and student support staff to ensure timely updates to student academic records.
- Assist with transcript requests, enrollment verification, final grade records, and other registrar‑related student documentation.
- Participate in periodic administrative meetings and support special projects related to student records, academic operations, and accreditation readiness.
- Associate degree required; bachelor’s degree preferred.
- Prior experience in academic records, registrar services, student services, compliance, admissions, or administrative support.
- Strong attention to detail and ability to maintain accurate records.
- Ability to handle confidential information with professionalism and discretion.
- Strong written and verbal communication skills.
- Ability to work independently, manage deadlines, and follow established policies and procedures.
- Comfort using student information systems, learning management systems, Microsoft Office, Excel, Teams, and electronic document management systems.
- Prior experience with accreditation processes (e.g., DEAC, CVTEA) is a plus but not required.
