Travel Clerk
The Travel Clerk provides clerical and administrative support for employee travel associated with approved professional development and district-related business. This position assists with routine travel processes, documentation, and recordkeeping to ensure accuracy, efficiency, and compliance with Birmingham City Schools travel policies and procedures. The Travel Clerk supports the Travel Coordinator and finance leadership by performing detail-oriented tasks and delivering dependable customer service with professionalism and integrity.
• Assist with coordinating routine travel arrangements for employees, including airfare, hotel reservations, and ground transportation, as directed.
• Prepare, organize, and maintain travel-related documentation, including travel authorizations, confirmations, receipts, and reimbursement records.
• Enter and update travel information in district financial or travel management systems.
• Respond to basic employee inquiries regarding travel procedures, forms, and documentation requirements.
• Maintain organized electronic and physical filing systems related to travel activities.
• Assist with group travel coordination by preparing participant lists, confirmations, and supporting documentation.
• Support the Finance Department with travel-related clerical tasks, reports, and reconciliation assistance as requested.
• Maintain confidentiality of sensitive financial and personnel information.
• Perform other travel coordination and finance duties, as assigned.
High school diploma or equivalent required.
• One (1) year of public or private clerical, administrative, or office support experience
• Basic knowledge of office practices, recordkeeping, and data entry.
• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
• Strong organizational skills and attention to detail.
• Ability to follow established policies, procedures, and deadlines.
• Effective written and verbal communication skills.
• Ability to work collaboratively in a team environment and provide courteous customer service.
