Executive Assistant
The Executive Assistant will provide comprehensive administrative support to executives and senior management. This role involves managing complex calendars, coordinating travel arrangements, preparing reports, and handling confidential information with discretion.
Responsibilities- Manage and prioritize complex executive calendars and schedules.
- Arrange and coordinate travel plans, accommodations, and itineraries.
- Prepare correspondence, reports, and presentations.
- Handle confidential information and sensitive documents with discretion.
- Draft, edit, and proofread executive-level correspondence and reports.
- Lead the planning and execution of executive-level events and projects.
- Oversee executive-level projects, ensuring timely completion.
- Answer and screen phone calls, emails, and inquiries.
- Serve as a point of contact between executives, employees, and external stakeholders.
- Supervise, mentor, and provide guidance to junior administrative staff.
- Utilize advanced software and tools for executive support tasks.
- Stay current on industry trends and emerging executive support technologies.
- 3+ years of experience supporting General Manager/Director-level leaders or above.
- Expert Outlook calendar management.
- Proficiency in travel and expense management.
- PowerPoint and Excel proficiency.
- Strong executive communication skills.
- Demonstrated discretion with confidential information.
Skills & Qualifications
- Associate or Bachelor's degree in Business Administration, Communication, Management, or Office Administration (highly preferred).
- Certified Administrative Professional (CAP).
- Professional Administrative Certification of Excellence (PACE).
- Project Management fundamentals/certification.
- Event Planning certifications (if the role coordinates leadership events).
The position is based at the Alabama Power Corporate HQ with an anticipated schedule of 4 days on-site and 1 day remote, from 8 am to 5 pm. The candidate must be willing to work on-site 4 days a week.
Job Type & LocationThis is a Contract position based out of Birmingham, AL.
Pay and BenefitsThe pay range for this position is $25.00 - $35.00/hr.
