Overview

The College of Architecture, Design and Construction (CADC) seeks applicants for an Administrative Support Specialist I/II within the Student Services office. This position serves as the primary point of contact for students, parents, and visitors and plays a key role in supporting a wide range of student-facing functions.

The CADC Student Services office includes recruiting, career services, academic advising, communications, and IT. This role provides high-level customer service and complex administrative support, including coordinating prospective student visits, supporting Camp War Eagle and other major events, assisting with registration and major changes, tracking transfer students, and managing student communications.

About the CADC

The CADC comprises three schools: the School of Architecture, Planning and Landscape Architecture; the McWhorter School of Building Science; and the School of Industrial and Graphic Design. Together, these academic units represent a broad and interconnected range of disciplines – offering nationally and internationally recognized undergraduate and graduate degree programs in architecture, landscape architecture, interior architecture, environmental design, graphic design, industrial design, and building construction.

While distinct in focus, the schools share a culture of inquiry, making, and public engagement that encourages collaboration, influence, and innovation across fields.

Responsibilities
  • Advises others on processes, procedures, and services; resolves policy related or procedural problems.
  • Gathers information and prepares various reports and correspondence; researches and resolves issues.
  • Provides budget tracking and coordination for a unit or department.
  • Coordinates large or complex projects or events.
  • Performs specialized technical duties and coordinates processes.
  • Reviews and verifies documentation for completeness and compliance with policies and procedures.
  • May assist in the development and maintenance of databases.
  • Participates and/or assists in special activities such as orientations, consultations, and events.
  • Performs a variety of clerical duties and administrative support duties, including processing of correspondence and documents; data entry and information compilation; scheduling and calendars coordination; distribution of incoming and outgoing mail; processing travel and expense documentation; answering telephones and greeting visitors; managing office supplies and inventory; and providing limited oversight of clerical or student workers. Performs other related support duties of comparable scope and complexity as assigned.
  • As an academic position, duties may also include scheduling classrooms, entering course information into Auburn University student scheduling system (OASIS), conducting teaching effectiveness surveys, contacting bookstores concerning text books, administrative issues related to student academic or financial status, creating and updating websites, and controlling/maintaining access to facilities.
Qualifications

Level I:
High school diploma or equivalent and 4 years experience in administrative support services

Level II:
High school diploma or equivalent and 6 years experience in administrative support services. Experience must include at least 2 years at the preceding level or equivalent.
