Risk & Vendor Compliance Coordinator, with Docusign Experience
We are seeking a highly organized and detail-oriented Risk & Vendor Compliance Coordinator to support the Risk Management team of a large commercial construction company. This is a great opportunity for an experienced administrative professional who enjoys working with contractors, vendors, insurance documentation, compliance requirements, and detailed processes.
The ideal candidate will have strong experience with Docu Sign, Outlook, and Excel, excellent attention to detail, and the ability to manage confidential and time-sensitive information. Experience in commercial construction, subcontractor administration, insurance, risk management, vendor compliance, or contractor prequalification is strongly preferred.
The position is 100% in-office in Birmingham, with flexibility when needed for family or children's activities.
Responsibilities:
- Manage the Risk Management hotline and department inboxes for prequalification and insurance inquiries
- Review trade contractor and subcontractor prequalification submissions for accuracy and completeness
- Identify missing, expired, unsigned, or incomplete documentation and follow up with contractors and vendors
- Process confidential financial request forms and monitor status updates
- Prepare, distribute, track, and file Docu Sign agreements and prequalification packages
- Maintain accurate trade contractor, vendor, insurance, and contact information
- Perform compliance checks for prequalified trade contractors and insurance documentation
- Prepare monthly compliance reports and assist with departmental reporting
- Maintain organized electronic contractor and compliance files
- Follow up with trade contractors via phone and email to obtain missing or incomplete qualification and compliance documentation
- Respond to vendor support inquiries and assist with application or submission questions
- Prepare and distribute professional correspondence, reports, memos, and other documentation
- Coordinate meetings and assist with day-to-day administrative needs of the Risk Management department
- Assist with additional risk, insurance, compliance, and administrative projects as needed
Qualifications:
- Minimum of 3 years of administrative support experience required
- Experience in commercial construction, insurance, risk management, vendor compliance, subcontractor administration, or a related industry strongly preferred
- High school diploma or equivalent required;
Associate's or Bachelor's degree preferred - 55–70 WPM typing speed required
- Intermediate to advanced Microsoft Outlook skills
- Intermediate Microsoft Excel skills
- Strong Docu Sign experience required
- Experience with document management systems, electronic filing, and data entry platforms
- Ability to quickly learn construction-specific software including Trade Tapp, Building Connected, myCOI, Egnyte, and Docu Sign
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage confidential and sensitive information with professionalism and discretion
- Strong follow-through and ability to manage multiple priorities in a fast-paced, process-driven environment
- Professional, solutions-oriented attitude with a strong customer service mindset
- Ability to work independently and collaboratively with contractors, vendors, project teams, and internal departments
