POSITION SUMMARY

The Expanding Learning Possibilities (ELP) Program Coordinator keeps the ELP’s work moving by handling the scheduling, communication, and data tracking that support the Professional Learning Specialist and the Content and Creative Learning Experiences Specialist. The position:

  • Coordinates meetings, school and Hub visits, and blog interviews;
  • Maintains shared trackers for attendance, participation, and program data; and
  • Helps keep communication with educators, Hub contacts, and partners timely and professional.

This is a coordination and support role, not a content or facilitation role — the Coordinator makes sure the people doing that work have accurate schedules, current data, and clear communication behind them. In addition, the position supports the Professional Learning Specialist and the Creative Learning Experiences Specialist through hands‑on support online and in-person via trainings, meetings, and other responsibilities as deemed necessary by the ELP Program Manager.

CORE

RESPONSIBILITIES Scheduling & Logistics Coordination
  • Schedule and coordinate meetings, calls, and school/Hub visits for the Professional Learning Specialist and the Content and Creative Learning Experiences Specialist.
  • Schedule and confirm at least four blog interviews or guest posts per month (two per Specialist), handling reminders and follow‑up with each interviewee.
  • Manage shared calendars and handle room, equipment, or platform bookings for PD sessions and Hub visits.
  • Schedule and track outreach to teacher reviewers and pilot participants supporting curriculum review cycles.
Communication Support
  • Draft, send, and track routine communications — session reminders, confirmations, and follow‑up notes — on behalf of both roles.
  • Serve as a first point of contact for scheduling or logistics questions from Hub contacts, teachers, and partners.
  • Support communication between College Admissions Made Possible (CAMP) and school/district contacts to keep relationships and follow‑up on track.
Data Tracking & Reporting Support
  • Maintain and update shared tracking systems for attendance, session completion, participant progress, and Hub outreach.
  • Enter and organize participant and program data from platforms, surveys, and sign‑in records; flag irregularities for review.
  • Help compile monthly and quarterly data summaries for the Program Manager and grant reporting needs.
Content & Documentation Support
  • Help organize files, materials, and documentation for curriculum, PD sessions, and blog content.
  • Support the blog publishing process — tracking submission deadlines, formatting drafts, and coordinating approvals.
  • Maintain records of interview and guest‑post outreach and status.
Cross-Team Coordination
  • Act as a connector between the Professional Learning Specialist and the Content and Creative Learning Experiences Specialist, keeping schedules and priorities aligned.
  • Track action items and follow‑ups from meetings, helping keep projects on schedule.
  • Provide general administrative support for ELP initiatives as needed.
Professionalism & Discretion
  • Communicate clearly, professionally, and promptly with staff, educators, and partners.
  • Stay organized and detail‑oriented across multiple schedules, trackers, and deadlines.
  • Anticipate scheduling conflicts and resolve them proactively.
  • Maintain confidentiality of participant and program data.
  • Represent CAMP and ELP professionally in all interactions by living the CAMP Way.
Key Performance Indicators (KPIs)

The ELP Program Coordinator will be evaluated based on:

  • Coordinated calendars for PD sessions, school/Hub visits, and meetings
  • Blog interviews and guest posts scheduled and confirmed
  • Attendance, completion, and participation trackers updated and audit-ready
  • Meeting notes and action‑item tracking
  • Communication log with Hub contacts, teachers, and partners
  • Responsiveness and organization as rated by the Professional Learning Specialist and the Content and Creative Learning Experiences Specialist
  • Smooth, well‑documented handoffs across scheduling, data, and communication tasks
