The University of Alabama at Birmingham (UAB) School of Education and Human Sciences (SEHS) is seeking a detail-oriented, student-focused Graduate Program Manager to support the successful delivery and continuous improvement of its graduate programs, with emphasis on doctoral and non-teacher education master's programs. This position plays a key role in managing program operations, supporting faculty and student needs, and ensuring alignment with institutional policies and goals.
Reporting to the Associate Dean for Research and Graduate Programs, the Graduate Program Coordinator serves as the central point of contact for coordinating administrative and operational aspects of graduate education across SEHS departments.
To coordinate the administrative and student support functions of graduate programs within UAB's School of Education and Human Sciences. To facilitiate communication among students, faculty, applicants, and university partners. To support efficient program operations and compliance with academic and institutional requirements.
Duties and Responsibilities- Serve as the primary point of contact for current and prospective graduate students.
- Advise and provide guidance to students on program requirements, policies, registration, and academic progress.
- Support students through key milestones: admission, registration, qualifying exams, candidacy, thesis/dissertation submission, and graduation.
- Coordinate orientation sessions, student communications, and professional development opportunities.
- Manage day-to-day operations of graduate programs (master's, EdS, EdD, PhD), including scheduling, communication, implementation of academic requirements, academic calendars, and event coordination.
- Support planning and execution of student-facing events (e.g., orientation, dissertation defenses), and help maintain graduate program content on SEHS websites.
- Maintain student records, degree audits, and program tracking systems (e.g., Banner, Salesforce, others).
- Support program review and accreditation processes by compiling data and preparing reports.
- Coordinate graduate admissions processes: track applications, communicate with applicants, and support faculty review committees.
- Liaise with the Graduate School or equivalent unit to ensure accurate processing of applications, assistantships, and admissions decisions.
- Support recruitment efforts, including attending graduate fairs, developing promotional materials, and maintaining web content.
- Supervises and coordinates recruitment activities with the graduate recruiter
- Assist graduate program directors and faculty with curriculum updates, scheduling, and catalog revisions.
- Support committee work related to curriculum, admissions, or graduate policy.
- Monitor graduate assistantship allocations and coordinate contracts and assignments with HR or payroll.
