About

The Role

U.S. Pipe is seeking a Project Services Coordinator to join our team. The Project Services Coordinator serves as a key liaison between customers and internal teams to ensure successful execution of project orders from bid through completion. This role is responsible for managing order details, coordinating cross‑functional teams, maintaining project documentation, and proactively resolving issues to ensure customer satisfaction and on‑time delivery.

The ideal candidate is organized, technically capable, customer‑focused, and able to thrive in a fast‑paced manufacturing environment.

Specific Responsibilities Customer Liaison & Order Management
  • Serve as the primary point of contact for customers throughout the project lifecycle.
  • Manage all aspects of customer orders, including bidder questions, quotes, status inquiries, order changes, substitutions, complaints, and back charges.
  • Ensure accurate and timely communication between customers and internal departments.
  • Maintain detailed and organized order records.
Project Scheduling & Documentation
  • Develop, maintain, and coordinate project manufacturing schedules.
  • Monitor project timelines to ensure alignment with production and shipping commitments.
  • Maintain project documentation in accordance with company standards and quality requirements.
  • Ensure all changes are properly documented and communicated.
Cross‑Functional Project Coordination ("Virtual" Team Leadership)
  • Coordinate and collaborate with internal teams including Sales Engineers, Manufacturing, Shipping, Accounting, Credit, Purchasing, and Drafting.
  • Facilitate communication and ensure all stakeholders are aligned on project deliverables and timelines.
  • Drive accountability and follow‑up to ensure project milestones are met.
Proactive Project Support & Issue Resolution
  • Anticipate, identify, and resolve project‑related challenges before they impact delivery or customer satisfaction.
  • Address technical questions, shipping issues, and production concerns.
  • Escalate issues appropriately while maintaining ownership of resolution.
Technical Review
  • Read and interpret technical drawings, specifications, submittals, and lay schedules.
  • Verify project details for accuracy and compliance with customer and company requirements.
Administrative & Billing Support
  • Prepare project billings in coordination with Accounting.
  • Generate owner manuals and project closeout documentation.
  • Maintain accurate records and complete required paperwork in a timely manner.
Qualifications
  • Previous experience in Customer Service, Account Resolution, or Project Coordination role.
  • Experience in a technical, manufacturing, construction, or industrial environment preferred.
  • Ability to read and understand technical specifications, drawings, and blueprints.
  • Strong analytical and problem‑solving skills.
  • Proficiency in Windows‑based software, including Microsoft Excel and Word.
  • Experience with ERP systems is a plus.
  • Strong interpersonal and communication skills.
  • Ability to remain professional and composed under pressure.
  • Demonstrated ability to manage multiple priorities in a fast‑paced environment.
