Position: Registrar/Bookkeeper (TIS)
POSITION TITLE:

Registrar/Bookkeeper

QUALIFICATIONS:

* High School Diploma or GED

* Must hold an Associate's Degree (or) have completed a minimum of 48 semester hours of study at a regionally accredited institution of higher education (or) have successfully completed the Alabama State Board of Education approved WORKKEYS test.

* Associate degree or higher in Accounting/Business preferred

* At least two years office experience

* Previous experience with computerized accounting systems with Next Gen preferred.

* Demonstrated aptitude and competence for the assigned responsibilities.

* Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

JOB GOAL:

* To manage school registration and maintain the student records-reporting process for the school.

* To provide bookkeeping and accounting support services to enhance the efficient and effective operations of the Tarrant City School System.

* To ensure accurate and timely record keeping and reporting of the financial transactions related to the Tarrant City School System's operations, programs, and services.

REPORTS TO:

Principal and Chief School Financial Officer

SUPERVISES:

NA

PERFORMANCE RESPONSIBILITIES:

* Maintains a positive and helpful attitude toward students, staff, parents and other visitors while maintaining strict confidentiality.

* Registers new students, verifies residency, requests records, assists withdrawing students, and

sends records as needed. Contacts and/or corresponds with other schools or agencies to

complete student registration and records. Must be able to coordinate an online registration.

* Maintains accurate attendance records and submits monthly as well as year-end reports to the Central Office.

* Accurately maintains information related to student enrollment, promotion, retention,

dropout, and graduation as applicable. Updates and purges student permanent records as

directed by the Central Office. Maintains records room in compliance with the Alabama State

Department of Education and the Central Office.

* Maintains a complete and systematic set of records of all financial transactions of the school on the designated computerized accounting system.

* Maintains payroll records of staff absences/hours worked and prepares monthly service reports/time sheets.

* Assist professional development coordinator in obtaining proof of attendance for professional development.

* Maintains records of grades, transcripts, withdrawn students, graduates, grade report averages, and class rank.

* Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.

* Oversees substitute teacher attendance tracking in the electronic database per direction from Principal or designee.

* Maintains payroll records of staff absences/hours worked and prepares monthly service reports/time sheets.

* Maintains purchase orders for local school funds and teachers' instructional funds for the Central Office.

* Prepares/Records cash receipts and ensures daily deposit(s).

* Traces errors and records adjustments to correct charges or credits posted to incorrect amounts.

* Reconciles bank statements and prepares financial reports monthly.

* Responsible for assistance in preparing annual school budget, including amendments to the original budget.

* Responsible for maintaining AASBO Local School Certification.

* Responsive to suggestions from supervisors and auditors.

* Willing to learn additional software, procedures, etc. as needed.

* Performs other duties as assigned by Principal, Chief School Financial Officer, and/or designee.

TERMS OF EMPLOYMENT:

EVALUATION:

Twelve-month position in accordance with the Board's salary schedule.

Performance of this job will be evaluated in accordance with provisions of the State Department of Education and/or Tarrant city Board of Education policy on evaluation of certified personnel.

This is a non-exempt role.
