Position: Company Manager/Artistic Assistant
Department: Production
Reports to: Artistic Director

Full-time. On-site at the theatre in Birmingham, AL.

Summary of Position:

The Company Manager/Artistic Assistant is responsible for collaborating with the Artistic Director (AD) to identify, secure, and engage cast and creative leadership for RMT productions and other artistic needs. This position serves as the liaison between actors, directors, and designers and the AD throughout the process of auditions, casting, and contracting. Additionally, they will develop a strong working relationship with the Artistic Director to help manage the complex schedule and diverse tasks required of that position.

Duties and Responsibilities:
  • Assist in the development of show budgets - actors, directors, choreographers, and support staff- and track adherence throughout the fiscal year
  • Organize, promote, schedule, and execute the entire audition process, collaborating across various departments to ensure a smooth and effective process for the artistic leadership as well as artists
  • Assist in casting and contracting of actors and creative team hires for all RMT projects, as well as for special event requests from outside clients
  • Provide a seamless transition of artist contact information, schedules, and conflicts to stage management
  • Coordinate payment of artists with finance department, including union payments when necessary
  • Arrange all travel and housing that is needed by the Artistic Director or visiting talent, including work with the Development Department for donor housing, keeping an eye toward both cost savings and efficiency, ensuring a quality experience for our artists
  • Negotiate hotel and rental car rates for guest artists
  • Create and maintain an artist database
  • Coordinate access codes and cards for production team per show
  • Coordinate opening nights comps for directors and designers
  • Coordinate catering for tech meals and cast parties
  • Collaborate with the General Manager to cast and coordinate the talent for special appearances.
  • Other duties as assigned
Artistic Assistant Duties and Responsibilities
  • Manage the Artistic Director's calendar and set up meetings
  • Handle travel and accommodation arrangements and process expenses reports
  • Handle credit card reconciliation each month
  • Keep on ongoing task list for the Artistic Director
  • Act as a gatekeeper to the Artistic Director's time and office
  • Draft and edit communication pieces and emails for contracts
  • Other duties as assigned
Minimum Qualifications
  • Bachelor's degree or equivalent work experience
  • 3 years-experience working in a professional theatre environment
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail, while being thorough and efficient
  • Self-starter, highly motivated, and able to work in a fast paced, multi-task environment
  • Experience exercising discretion and confidentiality with sensitive company information
  • Proficient in MS Office and Outlook
  • Ability to execute projects efficiently and according to schedule
Preferred Qualifications
  • 3-5 years' experience as Company Manager in a regional theatre setting
  • Knowledge of theatrical unions
  • Knowledge of rights organizations and application process
  • Proficiency in customer relationship database

    Advanced problem-solving (and anticipating) skills
  • Background in theatre, including general knowledge of theatre practices and dramatic literature
Physical Demands
  • This position requires work on nights and weekends. This position requires walking, stooping, kneeling, bending, and standing.
  • Must be able to lift 25 lbs. without assistance.
