Are you an organized, detail‑driven property management professional who thrives in a healthcare‑focused environment? We are seeking an Assistant Property Manager to support the daily operations of a portfolio of Medical Office Buildings (MOBs). This role plays a key part in maintaining safe, compliant, and patient‑friendly facilities for physicians, clinics, and specialty healthcare providers.
The Assistant Property Manager supports the Property Manager in overseeing operations, financial administration, tenant relations, and compliance for medical office buildings. This role ensures properties operate efficiently, meet healthcare‑related regulations, and provide a clean, professional environment for medical tenants and their patients.
Responsibilities- Assist with day‑to‑day operations of medical office buildings, ensuring a safe and professional environment.
- Coordinate maintenance and service requests around patient care hours and clinical operations.
- Conduct routine property inspections with focus on ADA compliance, infection control standards, life safety systems, and HVAC systems critical for medical use.
- Coordinate after‑hours and emergency service needs to minimize disruption to tenants.
- Serve as a primary point of contact for physicians, clinics, and practice managers.
- Assist with tenant move‑ins, build‑outs, and suite renovations in compliance with healthcare codes and lease requirements.
- Address concerns related to parking, signage, shared areas, and patient flow.
- Support preparation of annual budgets and CAM reconciliations.
- Process accounts payable and receivable and assist with rent collections.
- Maintain accurate tenant billing records and support monthly reporting and rent rolls.
- Coordinate specialized vendors including medical waste removal, HVAC and air filtration, elevator maintenance, and janitorial services following healthcare protocols.
- Monitor vendor performance and maintain documentation for inspections, safety audits, and life safety testing.
- 2+ years of commercial property management experience (MOB experience preferred)
- Experience with CAM reconciliations and budgeting
- Familiarity with healthcare compliance standards a plus
- Proficiency in Yardi, MRI, or similar software
- Strong communication and organizational skills
