Salary Range: $24.97 To $31.21 Hourly

SCOPE OF WORK:
The Office Manager provides administrative, financial, and operational support for the Standing Rock Community Health Representative (CHR) Program. Responsibilities include managing office operations, maintaining patient and program records, entering and reporting data in RPMS/EHR systems, assisting with budgets and financial tracking, processing purchase orders, and preparing required program reports. The Office Manager coordinates staff schedules, meetings, transportation, patient services, and referrals while maintaining communication with CHR staff, Indian Health Service (IHS) personnel, and community partners.

The position ensures compliance with Tribal, IHS, HIPAA, and program requirements, maintains confidentiality, supports office efficiency, and performs other related duties to ensure effective program operations.

KEY

DUTIES & RESPONSIBILITIES:

  • Manage daily office operations, maintain program records and filing systems, coordinate meetings and calendars, prepare correspondence, and support overall CHR Program administration.
  • Enter and maintain accurate patient information in RPMS/EHR systems, review Patient Care Component (PCC) forms for completeness and compliance, and ensure proper documentation and reporting.
  • Assist with program budget preparation, monitor expenditures, reconcile accounts, process purchase orders, maintain fund budgets, and prepare financial reports.
  • Compile statistical data, prepare monthly, annual, and committee reports, maintain employee and program files, document meeting minutes, and ensure accurate recordkeeping.
  • Coordinate patient transportation, medication deliveries, referrals, and follow-up services while serving as a liaison between patients, Indian Health Service (IHS) case managers, and program staff.
  • Maintain compliance with HIPAA, Privacy Act, IHS, and Tribal policies; conduct inventory, support staff training and reporting requirements, and assist with implementing efficient office and program processes.

PREFERRED QUALIFICATIONS:

  • Associates Degree in Business Administration, Accounting, or related field. Will consider High School Diploma/GED with 4 years of experience will be considered.
