Clerical Support Position
This position is responsible for providing clerical support for the department's operations.
Examples Of Duties- Answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel; takes messages and makes appointments.
- Maintains office supply inventory; reorders as needed.
- Establishes and maintains a variety of files and records.
- Processes open records requests.
- Assists personnel in the use of office equipment.
- Composes memoranda, letters, and other correspondence to support office staff.
- Maintains department's webpages and content on the City website.
- Provides support with processing liquor, door-to-door, pawnbroker, gaming, and taxi license applications, renewals, and transfers.
- Acts as a backup to the City Commission agenda, minutes, and related information.
- Provides support in preparation of social media materials and content.
- Scans and archives documents.
- Processes incoming and outgoing mail.
- Arranges and attends meetings; provides support and records notes/minutes.
- Performs related duties as assigned.
- Ability to read, write and perform mathematical calculations at a level commonly associated with completing high school or equivalent.
- Sufficient experience to understand the basic principles relevant to the position's primary duties, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
- Applicants must be currently authorized to work in the United States on a full-time basis. City of Bismarck does not provide visa sponsorship for this position.
- Knowledge of modern office practices and procedures.
- Knowledge of city and departmental policies and procedures.
- Knowledge of computers and job-related software programs.
- Knowledge of city records management principles.
- Knowledge of customer service principles.
- Skill in prioritizing and organizing work.
- Skill in the provision of customer services.
- Skill in the maintenance of files and records.
- Skill in using such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
