North Dakota Health and Human Services is seeking an Executive Assistant to support the Commissioner and Commissioner's Office in Bismarck, North Dakota.
In this role, you will help keep a fast-moving executive office organized, connected, and prepared. Your work behind the scenes will help the Commissioner focus on leading the agency and advancing our mission of improving the health and well-being of the people of North Dakota.
As an Executive Assistant, you will be a trusted administrative resource responsible for managing the details that keep the Commissioner's Office running smoothly. You will manage and coordinate the Commissioner's calendar, schedule meetings and appointments, identify scheduling conflicts, and adjust priorities as needs change. You will help the Commissioner stay prepared by keeping track of upcoming commitments and making sure the right information, materials, and meeting details are available when needed.
You will coordinate meeting logistics from beginning to end, including invitations, meeting locations, virtual meeting information, technology, agendas, and supporting materials. You will also assist with travel arrangements, expense documentation, purchasing, forms, special events, visitors, and other administrative needs of the Commissioner's Office.
Communication and organization will be an important part of your day. You will receive and route correspondence, telephone calls, emails, visitors, and requests to the appropriate person or area. You will prepare, format, proofread, distribute, scan, copy, and file documents and correspondence while maintaining accurate electronic and paper files, spreadsheets, lists, logs, and tracking documents.
Working in the Commissioner's Office means you will interact with people from across the agency, state government, partner organizations, and the public. You will be trusted with confidential and sensitive information and will need to use sound judgment, professionalism, and discretion in your daily work. While you will work with a high degree of independence, you will also recognize when an issue needs to be elevated or directed to the appropriate person.
To thrive in this position, you should be highly organized, dependable, responsive, and comfortable taking ownership of your work with limited day-to-day direction. You should enjoy managing multiple priorities, anticipating administrative needs, solving routine problems, and adjusting quickly when schedules or priorities change.
You should have strong written and verbal communication skills, excellent attention to detail, and the ability to follow through on commitments and deadlines. Experience managing complex calendars and providing administrative support to senior executives or organizational leaders will help you succeed. You should also be comfortable using email, electronic calendars, word processing programs, spreadsheets, virtual meeting platforms, and other common office technology.
Experience working in public service and with government officials, agency leaders, stakeholders, and members of the public will also help you succeed in this role. Most importantly, you should understand the importance of confidentiality and be able to build trust through professionalism, accuracy, good judgment, and reliable support.
Minimum Qualifications- An associate or bachelor's degree in business administration, public administration, office management, or a related field and a minimum of three (3) years of experience providing executive-level administrative support.
