Job Description
The Administrative Assistant in the Division of Information Technology provides vital administrative support to the Vice President for Information Technology and CIO, as well as other designated leaders. Reporting to the Executive Assistant, this role is essential for enhancing the operational efficiency of the division through effective management of schedules, communications, and documentation.
Key Responsibilities- Managing calendars and scheduling meetings
- Assisting with procurement of office supplies
- Entering food approvals for business meals
- Processing travel preapprovals and reimbursements
- Maintaining and organizing office files and records, including serving as backup for the Executive Assistant
- Preparing documents, organizing meetings, and supporting IT projects while maintaining a professional image of the division
- High school diploma or equivalent
- Demonstrated administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Ability to prioritize tasks and manage multiple responsibilities effectively
- Professional demeanor with strong interpersonal skills
- Ability to work both independently and as part of a team
- Associate’s degree or higher in business administration or a related field
- Experience supporting senior‑level executives or leadership teams
- Experience in event planning and coordination
- Demonstrated ability to work in a fast‑paced environment with changing priorities
- Working knowledge of the University’s policies and procedures
The successful candidate will be required to have a criminal conviction check.
