Dental Kidds - Scheduling Coordinator (Blaine, MN)
Dental Kidds is seeking an energetic Scheduling Coordinator to serve as the front desk face of a pediatric dental practice. This role involves greeting families, managing phone calls, scheduling appointments, maintaining patient records, and ensuring smooth patient flow.

- Greet visitors and patients entering the practice and alert appropriate staff of patient arrivals.
- Answer telephone, route calls, provide information, and take messages according to practice procedures.
- Schedule and adjust patient appointments to maximize patient care.
- Establish, maintain, and keep patient files and records up to date.
- Communicate with patients regarding financial options in line with financial protocol.
- Reconcile financial records by receiving and recording patient payments.
- Prepare correspondence, memos, referral letters, and other documents as requested by the doctor.
- Use a computer or fax to transmit information or documents when requested.
- Keep the front desk and reception areas clean.
- Organize magazines to keep them current and neat.
- Water the plants.
- Perform necessary duties associated with checking patients in and out.
- Call patients the day before to remind them of a scheduled appointment; monitor the automatic communication system and maintain accuracy.
- Send prior authorizations on a daily basis.
- Adhere to all safety and health regulations.
- Monitor the schedule regularly, adjust the schedule as necessary, and reschedule patients as needed.
- Keep staff and doctors informed of scheduling problems, issues, or concerns.
- Register new patients, provide necessary paperwork (welcome letter, HIPAA documents), and ensure all required documents are completed.
- Utilize the Recare Protocol to reactivate patients.
- Send postcards and make calls according to the Recare System Protocol.
- Follow up on unscheduled treatment by calling parents with an estimated patient portion and scheduling treatment.
- Knowledge of appointment coordinator procedures.
- Knowledge of English composition, grammar, spelling, and punctuation.
- Skill in using standard office equipment (telephones, calculators, copiers, fax machines, computers, and software such as MS Excel, Word, Practice Management software).
- Ability to maintain composure and professionalism when exposed to stressful situations.
- Ability to engender trust from doctors, co-workers, and patients.
- Ability to work cooperatively with management, staff, and patients.
- Ability to prioritize, organize, and complete tasks in a timely and independent manner.
- Ability to accept constructive criticism.
- Ability to understand and follow written and verbal instructions.
- Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality.
- Ability to communicate and express thoughts and ideas competently.
- Ability to quickly grasp relevant concepts regarding duties and responsibilities.
- Ability to greet visitors professionally and courteously.
- High school diploma or equivalent.
- Minimum of 1 year of relevant experience in the dental profession.
- May be required to lift up to 50 lbs.
- Active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching.
- Vision: close vision, depth perception, and the ability to adjust focus.
- Hearing: able to satisfactorily communicate with patients, doctors, and other staff members.
- Finger dexterity required to access, enter, and retrieve data using a computer keyboard or operate equipment.
- May be required to administer first aid or CPR.
- Occasional exposure to toxic or caustic chemicals and radiation.
- Exposure to moderate noise levels.
- Exposure to hectic, fast-paced, high-anxiety environments.
- Additional or different duties may be assigned occasionally at the employer’s discretion.
