Be the Welcoming Face of Minnesota School of Music

Minnesota School of Music is looking for a dependable, personable, and highly organized Evening Front Desk Receptionist to take ownership of our front desk Monday through Thursday evenings.

Our school serves children and teenagers through structured private music lessons, engaging instruction, and memorable performance opportunities. During our busiest hours, the front desk is the communication and customer-service center of the school.

You will greet families, assist instructors, answer questions, manage scheduling needs, support new student enrollment, and ensure the school closes each evening in an organized and professional manner.

This is not a position where you will simply sit behind a desk. We need someone who notices what needs to be done, communicates clearly, follows established procedures, and takes personal responsibility for providing an excellent experience to every family.

What You Will Do Welcome and Assist Families
  • Greet students and parents warmly as they enter the school
  • Create a friendly, professional, and orderly lobby environment
  • Answer questions about lessons, schedules, tuition, policies, and upcoming events
  • Assist families with routine scheduling and account needs
  • Address concerns calmly and involve management when appropriate
Manage Front Desk Communication
  • Answer incoming phone calls, text messages, and emails
  • Respond promptly and professionally to customer inquiries
  • Record complete and accurate notes in the school’s management system
  • Communicate schedule changes and other important information to families and instructors
  • Follow up with prospective families who request information
Support Registration and Enrollment
  • Explain the school’s lesson programs and enrollment process
  • Help prospective families identify an appropriate lesson option
  • Assist families with registration and account setup
  • Follow established enrollment and customer-service procedures
  • Provide accurate information without pressuring families or making promises outside school policy
Coordinate Evening Operations
  • Monitor student arrivals, instructor attendance, and room activity
  • Help instructors resolve routine scheduling or customer-service questions
  • Process approved account updates and payments
  • Maintain organized front desk records
  • Keep the lobby, reception area, and shared spaces presentable
  • Complete the nightly front desk and closing checklists
  • Confirm that required tasks are finished before leaving each evening
The Right Person for This Position

You may be a strong fit if you:

  • Are exceptionally dependable and arrive ready to work on time
  • Enjoy interacting with children, parents, and teachers
  • Communicate with warmth, confidence, and professionalism
  • Remain calm when several people need assistance at once
  • Can follow a detailed process without needing constant supervision
  • Notice unfinished work and take initiative to complete it
  • Are comfortable learning scheduling, customer-management, and payment software
  • Can enforce policies respectfully and consistently
  • Understand that customer service sometimes requires patience, problem-solving, and difficult conversations
  • Want a stable, long-term evening position with a consistent weekly schedule
Minimum Qualifications
  • At least 18 years old
  • High school diploma or equivalent
  • Previous customer service, reception, administrative, retail, hospitality, or office experience
  • Strong verbal and written communication skills
  • Comfortable using computers, email, calendars, and web-based software
  • Able to accurately enter and maintain customer information
  • Available every Monday through Thursday from 5:00–9:00 p.m.
  • Able to complete paid training beginning in late August 2026
