About the role

The Renovation Youth Administrative Assistant provides organizational, logistical, and administrative support for Renovation Youth Ministry. This role helps create excellent environments for students, parents, volunteers, and leaders by overseeing ministry systems, event logistics, communication, attendance tracking, and operational support. This position is part-time working about 15 hours per week. The pay rate for this role is $18 per hour.

What you'll do Renovation Youth Check-In and Database Management
  • Oversee Planning Center Check-In systems and processes
  • Maintain student and family information within Planning Center
  • Recruit, coordinate, and support check-in volunteers as needed
  • Troubleshoot attendance and registration issues
  • Ensure accurate student records and ministry database management
Attendance & Engagement Tracking
  • Track attendance for:
    Middle School Ministry, High School Ministry, Bible Studies, and Small Groups.
  • Generate attendance reports and identify engagement trends
  • Assist ministry staff in using attendance data for student care and discipleship
Event Planning & Logistics
  • Coordinate administrative and logistical details for youth ministry events, including:
    Fall Retreat, Middle School Mission Trips, High School Mission Trips, Renovation Roundup Nights, and Special events and seasonal gatherings
  • Responsibilities include:

    Registration management, transportation coordination, food planning, supply procurement, games and activity preparation, communication with parents and volunteers, and event follow-up
Parent & Family Communication
  • Maintain and update parent email lists
  • Assist in creating and distributing timely ministry communications, such as event information, schedules, and ministry opportunities
First-Time Guest Follow-Up
  • Develop and manage the process for first-time youth visitors follow-up
  • Coordinate follow-up communication with students and parents
  • Help create a welcoming experience for new students and families
Small Group Administration
  • Identify needs for additional leaders or group multiplication
  • Assist with student placement and leader assignments
  • Maintain records of group locations and meeting information
