Position OverviewS&S Management Services seeks a highly organized, proactive, and detail-oriented professional to support the management of multiple nonprofit associations. This role blends strategic coordination, event planning, and administrative execution, making it ideal for someone who enjoys variety, thrives in a fast-paced environment, and is passionate about supporting mission-driven organizations.
This position supports two Executive Directors. Some early mornings, evenings and limited weekends are required based on event schedule.
Key Responsibilities Association & Member Management- Maintain accurate and up-to-date membership databases
- Respond to member inquiries and provide exceptional customer service
- Support membership recruitment, retention, and renewal efforts
- Attend board meetings (and committee meetings as needed), virtual and in-person
- Assist with preparation of relevant meeting materials
- Provide regular updates and follow-up on action items as assigned
- Partner with association leadership to plan and execute meetings, conferences, and special events
- Coordinate aspects of event logistics, including:
- Venue sourcing and contract coordination
- Food and beverage planning
- Develop and distribute event promotions, including Save the Dates and email campaigns
- Manage speaker outreach, confirmations, and logistics
- Support sponsorship fulfillment and follow-up
- Attend events, manage registration and assist with on-site operations
- Provide post-event reporting and tracking of continuing education credits
- Develop and execute email marketing campaigns using platforms such as Constant Contact
- Create and schedule content for social media platforms such as Linked In, Facebook, and Instagram
- Design basic graphics and promotional materials using tools such as Canva
- Support website updates and event promotion as needed
- Provide day-to-day administrative support for multiple associations
- Manage shared calendars, timelines, and project deadlines
- Handle multiple priorities while maintaining strong attention to detail
- Assist with document preparation, reporting, and record-keeping
- Bachelor’s degree or equivalent experience preferred
- Experience in association management, nonprofit work, event planning, or administrative support preferred
- Strong organizational and time management skills with the ability to manage multiple projects simultaneously
- Excellent written and verbal communication skills
- Strong interpersonal skills and ability to work effectively with volunteer leaders and diverse stakeholders
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Familiarity with email marketing platforms (e.g., Constant Contact) preferred
- Experience with social media platforms and basic graphic design tools (e.g., Canva)
- Comfortable learning and utilizing new technologies and digital platforms to support daily operations.
- Comfort with learning and using new technology and software platforms.
