Maarif School is seeking a friendly, organized, and detail-oriented Office Assistant to support the daily operations of our school office. This position plays an important role in providing administrative support, assisting with admissions and enrollment, maintaining student records, and delivering excellent customer service to students, parents, staff, and visitors.
Responsibilities- Answer phone calls, emails, and greet students, parents, visitors, and prospective families.
- Schedule appointments, school tours, meetings, and events.
- Maintain student attendance records, lunch counts, transportation documents, and uniform orders.
- Assist prospective families throughout the admissions and enrollment process.
- Provide information regarding admissions requirements, tuition, enrollment procedures, and school programs.
- Prepare enrollment packets and assist families with required paperwork.
- Process new enrollments, re-enrollments, transfers, and withdrawals.
- Maintain accurate student records and update the Student Information System (SIS).
- Collect, verify, and organize enrollment documents, including health records, immunizations, proof of residency, and other required forms.
- Request and process student records from previous schools.
- Prepare enrollment verification letters and process authorized student record requests.
- Organize and maintain electronic and paper filing systems while ensuring FERPA compliance.
- Prepare correspondence, reports, spreadsheets, and other administrative documents.
- Maintain office supplies and coordinate office equipment maintenance.
- Assist with Open Houses, orientations, graduations, parent meetings, and other school events.
- Collaborate with administrators and staff to support the daily operation of the school.
- Perform other administrative duties as assigned.
- High school diploma required;
Associate's degree preferred. - Previous office, administrative, or school experience preferred.
- Excellent customer service and communication skills.
- Strong organizational skills with attention to detail.
- Ability to multitask and work independently.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with Student Information Systems (SIS) is a plus.
- Ability to maintain confidentiality and handle sensitive information.
- Valid driver's license with a clean driving record.
