About the Position

If you have a passion for innovative business operations then this role is for you! The right person for this role is a self-starter who embraces organization, process, innovation and operational efficiency. You’ll gain broad experience across many aspects of business operations while serving a mission to bolster our local economy.

This role is part of the Finance & Operations Team which is responsible for all administrative, finance, and operational aspects of the Chamber. The right candidate will exude the Chamber’s Core Values, especially Positive Attitude with Contagious Energy. This position directly manages the internal operational aspects of the Chamber ensuring seamless office operations that continually improve. Key initiatives for the role include CRM utilization, artificial intelligence adoption, and process development.

This position also provides customer service to our member businesses and is a valuable resource to the staff. The position is responsible for the following.

Operations (65%)

  • Customer Relationship Management System – manages the database portion of the CRM with a special focus on full utilization and automation.
  • Artificial Intelligence Adoption – lead team member for researching and adopting AI applications to improve organizational efficiency.
  • Training & Process – compiles and formats the organization’s processes.
  • Shared Resources – manages all organizational Outlook calendars and SharePoint sites.
  • Project Management – manages special projects as assigned.

Office Management (10%)

  • Facilities Management – manage contracts, vendors, maintenance requests, supply ordering, technology, office cleaning/organization, and all other facility needs.
  • Room Rentals – responsible for all room rental bookings and ensuring members have a positive experience when utilizing our spaces.
  • Bloomington-Normal Share Space – acts as the manager of our coworking space which primarily includes managing our related software system, assisting pass holders as needed, and keeping the space in order.

Member Services (10%)

  • Member Service – provide members with services in-office, over the phone, and by e‑mail.
  • Member Renewals – connect with members by phone and e‑mail to complete their renewal and ensure they are getting the most out of their membership.
  • Member Benefits – responsible for tracking member benefit utilization.

Executive Support (10%)

  • Executive Support – provides administrative support to the President & Chief Executive Officer and Chief Operating Officer.

Finance (5%)

  • Finance Support – assists the Manager of Finance with basic daily and weekly financial tasks such as mail processing, payment collection, payment association, deposits, invoicing, etc.
Education and Experience
  • Manager-level requires a Bachelor’s degree in relevant field and 3+ years of related experience OR Associate’s degree in relevant field and 5+ years of experience.
  • Coordinator-level requires a Bachelor’s degree in relevant field and 1+ year of related experience OR Associate’s degree in relevant field and 3+ years of experience.
