OFFICE OF STUDENT LIFE ADMIN (BL-DSAA-IUBLA)

Responsibilities- Serve as secondary point of contact for calls and visitors to the Dean of Students Office, responding to inquiries and requesting referrals to appropriate individuals or University offices.
- Cover the front desk consistently and handle phone and email correspondence.
- Track schedules for occupants in the Dean of Students suite and communicate with other admin staff and student employees.
- Maintain holiday schedule and coverage.
- Assist with training and support for student workers staffing the front desk.
- Coordinate office operations such as supply ordering, printer/copier maintenance, conference room activities and scheduling, maintaining parking passes and general suite facilities maintenance.
- Order office supplies such as candy, water bottles, etc. for students and guests.
- Perform daily administrative duties related to the operations, planning, and implementation of student services initiatives.
- Attend the front desk, answer phones, deliver messages and mail.
- Serve as liaison to campus partners for cross-departmental student services initiatives, securing space reservations, scheduling planning meetings, and providing necessary documentation.
- Act as the Dean of Students point of contact for the Indiana Memorial Union.
- Maintain Teams folder.
- Prepare and send sensitive and confidential communications on behalf of the Dean of Students.
- Provide administrative support for Associate Vice Chancellor(s) and Deans and Directors, exercising confidentiality, tact, diplomacy and strong customer service.
- Schedule and confirm appointments, manage calendars, evaluate requests for meetings, and arrange travel for Associate Vice Chancellor(s) and deans/directors.
- Assist with special projects; conduct research projects on student life initiatives; prepare routine and non-routine reports, including gathering and summarizing data.
- Maintain strict confidentiality and greet all guests and callers with a calm and respectful demeanor.
- Provide assistance to student participants, stakeholders, faculty, and/or staff.
- Analyze information, provide documentation and prepare reports; accurately maintain electronic records and databases.
- Assist with daily scheduling, training and gathering student feedback; may prepare and disseminate handouts, presentations, or other materials.
- Assist in maintaining the IUBDOS email account.
- Organize Dean’s Advisory Council events for about 20 students monthly.
- Assist with Dean's suite events such as Souper Bowl.
- Occasionally assist with dean and director's travel.
- High school diploma or equivalent (e.g., HSED or GED).
- 2 years in an office environment, higher education or related field.
- Excellent organizational skills.
- Strong verbal communication and listening skills.
- Effective interpersonal skills.
- Maintains a high degree of professionalism.
- Demonstrates ability to maintain confidential information.
This temporary position requires the ability to effectively communicate and operate a computer and standard office equipment. It involves sedentary work as well as periods of moving around an office environment and campus. The person must be able to perform the essential functions with or without accommodation.
Temporary position – duration dependent on department needs; end date to be determined.
Bloomington, Indiana – in-person position.
$20.00 per hour; maximum of 29 hours per week based on department needs and availability.
