Office Administrator/ Coordinator
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Chief Human Resources Officer (CHRO) and HR Leadership Team. The role requires exceptional organization and discretion in a fast-paced executive environment, managing competing priorities.
The position is based on-site at the Bloomington, MN office.
Role Responsibilities- Manage executive and HR leadership team calendars, including routine communications and scheduling.
- Coordinate complex travel logistics, including international itineraries and required documentation.
- Plan and execute in‑person and virtual meetings/events (logistics, agendas, minutes, vendor coordination).
- Draft correspondence, prepare reports, and support special projects (e.g., newsletters, tours, training).
- Compile and analyze data for decision‑making, presentations, and reporting.
- Process and manage expense reports for the leadership team.
- Support onboarding activities; manage office supplies; maintain org charts and distribution lists.
- Maintain and update SharePoint content to ensure COEs keep information current.
- Execute file management and I‑9 retention processes.
- Provide backup support for interview scheduling.
- 4+ years of progressive experience supporting C‑suite or senior leadership.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, One Note, Visio, Outlook).
- Experience using SharePoint to create, update and maintain departmental content.
- Proven ability to handle sensitive information with a high degree of integrity and confidentiality.
- Strong experience managing executive calendars, meeting coordination, and travel logistics.
- Strong organizational, prioritization, and problem‑solving skills in a fast‑paced, global environment.
- Excellent written and verbal communication skills, including executive‑level correspondence.
- Experience supporting a CHRO or HR leadership team in a global or matrixed organization.
- Experience using Concur for travel arrangements and expense management.
- Strong emotional intelligence, adaptability, and results orientation.
- Familiarity with HR systems, Workday.
- Familiarity with Power Apps.
This position is not eligible for relocation assistance.
CompensationHourly Pay Range: $28.84 - $36.44/hour, depending on relevant experience, qualifications, and skills. This position is overtime eligible as per state and federal regulations.
