About the Role
The Administrative Assistant plays a vital role in supporting the smooth operation of healthcare and administrative functions within the organization. This position provides clerical assistance to administrative staff and department heads when needed, screens visitors, operates the telephone systems to answer calls and directs them to appropriate personnel, and manages office equipment and supplies. The Administrative Assistant will serve as a key liaison, facilitating efficient workflow and contributing to a positive resident experience.
Ultimately, this position ensures that both administrative and resident care tasks are executed accurately and timely to support the overall mission.
Job Responsibilities
- Greet and welcome residents, visitors, and associates in a courteous and professional manner.
- Answer and direct incoming phone calls promptly and efficiently, providing accurate information or transferring calls as appropriate.
- Coordinate communication between residents, healthcare providers, and administrative staff to ensure seamless service delivery.
- Handle general administrative duties such as filing, data entry, and managing office supplies.
- Utilize basic computer literacy skills to maintain electronic health records, prepare reports, and manage correspondence.
Minimum Qualifications
- Previous experience in a receptionist or customer service role, preferably in a healthcare or related environment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in basic computer applications such as Microsoft Office and electronic health record systems.
- Strong organizational and communication skills.
Preferred Qualifications
- Previous experience in a healthcare administrative role.
- Certification in medical office administration or related field.
- Experience with specialized healthcare software.
- Additional training or certification in patient care or infection control.
- Ability to multitask effectively in a fast-paced healthcare environment.
