Position Overview
The Space Reservations Assistant supports the student organization event planning process by assisting with front-line customer service, intake of reservation requests, and maintaining space reservation documentation.
Responsibilities- Help create a welcoming and organized environment for students planning meetings, programs, and events on campus.
- Assist with the intake and review of space reservation forms, ensuring all required information is submitted.
- Be available to answer space reservation inquiries from students.
- Provide clear and courteous guidance to students about campus event policies and reservation procedures.
- Maintain organized records of space reservation requests and update databases and spreadsheets accurately.
- Collaborate with the Campus Space Reservations Specialist and fellow interns to ensure smooth office operations.
- Offer hands‑on experience in a professional, fast-paced campus office, providing valuable exposure to the coordination of events and student engagement.
- Strengthen communication and customer service skills by interacting with students, staff, and campus departments.
- Learn the fundamentals of event planning and logistics through real-time support of space reservations and university policies.
- Build confidence managing administrative tasks, databases, and shared responsibilities in a collaborative office environment.
- Gain experience navigating complex processes, problem-solving, and supporting university operations—transferable to careers in higher education, business, public service, hospitality, and more.
- Be mentored by full‑time staff and exposed to team‑based planning efforts.
- Currently enrolled as a student at Indiana University.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Attention to detail and accuracy in reviewing and entering data.
- Ability to handle confidential information with discretion.
- Time management and organizational skills.
- Ability to work independently and collaboratively in a team setting.
- Professional and courteous demeanor.
- Familiarity with IU student organizations and campus resources.
- Proficiency with Microsoft Office (Outlook, Word, Excel).
- Comfort using and learning scheduling systems and online forms.
- Conflict resolution or peer support experience.
Must be able to navigate assigned buildings for tours and crisis response. Must be able to move items up to 75 pounds multiple times per shift. Must perform essential functions with or without accommodation.
Work DetailsHourly rate: $12.25 per hour.
Office hours:
Monday through Friday, 9:00 AM – 5:00 PM.
Work approximately 10–12 hours per week, based on availability.
This position is work‑study eligible.
