JOB OVERVIEW
Harmony School is seeking a dynamic, highly organized, and multi-talented professional to serve as our Communications & Development Coordinator. This critical role acts as the central hub of our school community. By bridging daily front-office operations with proactive marketing, graphic design, digital communications, and fundraising event management, you will directly support our students, staff, and long-term sustainability. KEY RESPONSIBILITIES Front Office & Campus Operations- Hospitality & Reception: Serve as the welcoming face of the school. Direct inbound phone calls, manage the visitor sign-in/out and security badge protocols, and handle incoming mail and packages.
- Daily Logistics: Update staff duty calendars. Record student attendance, process physical late slips in student folders, and maintain student records within the ALMA database.
- Student Support & Care: Provide administrative student support, administer basic first aid and medications (meticulously logging details), and offer emotional comfort to students as needed.
- Safety Compliance: Lead logistical aspects of emergency drills, taking immediate attendance checklists, using the megaphone, and securing the office building at closing.
- Brand & Creative Assets: Utilize graphic design skills to create logos, merchandise, and promotional print and digital materials (flyers, brochures, event programs, and banners).
- Digital & Social Media: Manage the school’s active social media presence (Facebook, Instagram, and You Tube). Construct and send routine email blasts and newsletters (In Harmony) via Big Mailer.
- Website & Event PR: Maintain and update content on the school website (Meet Our Staff, Admissions, calendars). Write and distribute press releases to local media outlets.
- Outreach Events: Coordinate community display booths, prep interactive activities, organize logistics, attend events, and recruit teacher/parent volunteers.
- Salesforce Administration: Maintain accurate donor database records, log incoming funds, organize physical processing folders, and draft/issue formal donor thank-you letters.
- Campaign & Event Management: Serve as a driving operational force for five major fundraising events:
- Annual Golf Outing (August):
Handle course coordination, sponsor ships, collateral design, and rosters. - Extravaganza (Sept/Oct):
Manage committee planning, silent auction items, and bid materials. - Giving Tuesday & Giving Day:
Organize major digital campaigns utilizing social media, Give Lively, and Big Mailer with real-time goal updates. - Holiday Follies (December):
Collect sponsor ships, process program ads, and design event collateral.
- Annual Golf Outing (August):
- General Fundraising: Support all fundraising opportunities and coordinate 3rd party fundraising efforts.
- Grants & Reporting: Assist with grant writing, copy editing, proposal packaging, and reporting compliance as needed to support supplementary funding avenues.
- Meetings & Professional
Collaboration:
Actively attend and participate in regularly scheduled staff meetings, in-service days, and school-wide collaboration events. - Committee Participation: Participate in designated administrative, development, or strategic committees to support organizational alignment and progress.
- Timely Communication: Maintain responsive internal and external communications, ensuring all emails, phone calls, and direct inquiries are replied to within 24 hours.
- Professionalism & Standards: Model highly professional, collaborative, and clear written and verbal communication styles across all channels representing Harmony School.
- Adaptability: Perform other duties as assigned by the CFO, Operations Director, or administrative leadership to support the evolving needs of the school community.
The ideal candidate will have outstanding communication skills, administrative experience in an educational or non-profit setting, and proficiency in the following areas:
- Demonstrated successful marketing, fundraising and/or special events experience.
- Understanding of basic principles of fundraising, strong organizational and interpersonal skills, and excellent oral and written communication skills required.
- Bachelor’s Degree in a related field preferred.
- Two years work experience in nonprofit and fundraising preferred.
- First Aid & CPR certified.
- Experience with Microsoft Office, Google Suite, Adobe CS Suite, Canva, Salesforce, Word Press, email marketing, social media management.
