Responsibilities
- Responsible for the administrative functions of the Jacobs School of Music's Graduate Advising and Records Office, providing support to the director of graduate studies, graduate academic advisors, and graduate recorder.
- Serve as the first point of contact for current and prospective graduate and diploma students and related faculty and staff.
- Screen phone calls, e‑mails, and walk‑in visitors; greet and provide information, researching problems and referring to other sources when necessary.
- Assist with New Student Orientation, Continuing Student Registration, walk‑in advising, graduation, and academic standing procedures.
- Schedule and prepare materials for Artist Diploma auditions.
- Maintain information in University systems and Access regarding completion of master’s, diploma, and doctoral student degree requirements, doctoral committees, doctoral minor fields, doctoral candidate registration, and artist diploma committees.
- Proctor doctoral qualifying examinations.
- Liaise with University Graduate School, International Student Services, Student Central, and the doctoral clerk.
- Coordinate and assist with filing, scanning, and archiving of student records.
- Assist with administrative needs related to daily operations, planning, and implementation of various or multiple student services initiatives, including front desk duties, answering phones and email, and delivering messages and mail.
- Act as a liaison to campus partners for cross‑departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
- Provide assistance to student participants, stakeholders, faculty, and staff; act as a resource by analyzing information, providing documentation, and preparing reports; maintain electronic records and databases accurately.
- Provide directions, support, and information to student organization representatives and other visitors to the department.
- Assist with daily scheduling, training, and gathering of student feedback; prepare and disseminate handouts, presentations, or other materials.
- Assist with ordering or creation of promotional materials for student organizations or departmental needs.
- Provide guidance to other Student Services Coordinators.
Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.
EducationRequired
- High school diploma or equivalent (HSED or GED).
Required
- Two years in an office environment, higher education, or a related field.
