Position: Choral Administrator (Student Programming Coordinator)

Responsibilities

  • Supports the daily functioning of the Jacobs School of Music (JSOM) Choral Conducting Department, its faculty and associate instructors, and its 12 choral ensembles with over 400 students.
  • Reports to and works closely in coordination with the Chair of the Choral Conducting Department to carry out the following duties.
  • Creates the rehearsal schedules for all choral ensembles.
  • Administers annual choral placement auditions for 400 plus students each August and prospective graduate choral conducting student auditions each February.
  • Coordinates rehearsal, audition, and performance hall reservations.
  • Supervises logistics for and attends all choral concerts and dress rehearsals.
  • Coordinates riser and chair delivery, setup and strike needs with Facilities, IU Auditorium, Auer Hall and MAC production staff.
  • Administers course evaluations for all choral ensemble directors (faculty and AI) in coordination with the JSOM Dean's Office.
  • Arranges student solo auditions as needed for performances.
  • Proofreads and coordinates the printing of concert programs, text, and translations for all choral ensembles.
  • Serves as primary point of contact for guest artists and auditioning students.
  • Curates and maintains choral department website/blog site.
  • Coordinates with Communications Office for the creation of posters, ads, special touring programs, and other media assets as needed.
  • Serves as primary and/or secondary supervisor for student workers hired in the choral department, including paid singers, pianists, and other student workers as needed.
  • Posts and maintains all choral department ensemble rosters and schedules.
  • Coordinates the submission of all faculty‑assigned X70 / X80 grades each semester.
  • Assures Family Educational Rights and Privacy Act (FERPA) compliance with any and all student data as required by law.
  • Regularly interacts with The Singing Hoosiers and the Faculty Director. Specifically, the Choral Administrator:
  • Coordinates details related to road shows, tours, and off‑campus retreats.
  • Communicates with external venues on issues related to the ensemble's performance apparatus, including (but not limited to) stage setup, audio needs, and schedules.
  • Serves as liaison between the Director of The Singing Hoosiers and the JSOM Travel Office in coordinating travel reservations (charter, lodging, etc.), meals, and student per diem.
General Responsibilities
  • Assists with administrative needs related to the daily operations, planning, and implementation of student programs.
  • Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
  • Services a liaison to campus partners for cross‑departmental student programming, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
  • Provides assistance to program participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports.
  • Greets students and/or program participants; may assist with program check‑in and check‑out. Provides directions, support, and information to program participants.
  • Assists with daily scheduling, training, and gathering program feedback. May prepare and disseminate handouts, presentations, or other program materials.
  • Assists with ordering or creation of promotional materials to encourage student participation.
  • Takes on tasks of increasing complexity, such as performing benchmarking research of student programming at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness.
  • May provide guidance to other Student Programming Coordinators.
Education

Required
:
High school diploma or equivalent (such as HSED or GED).

Preferred
:
Bachelor's degree in music, arts administration, or related field.

Work Experience

Required
: 4 years in office environment, higher education, or related field.

Preferred
:

  • 2 years of experience working in arts administration, concert production and/or performance.
  • Experience related to booking student travel and tour management.
