The mission of the University Graduate School (UGS) is to ensure excellence in graduate education, build and sustain a diverse community of scholars, promote personal and professional development, and contribute to the success of all graduate students on the Indiana University (IU) Bloomington campus. We accomplish this by providing services and support to graduate student faculty and staff, from recruiting and admissions through degree completion.
The Assistant Dean for Academic Affairs manages all academic, curricular, and faculty affairs for the University Graduate School. The primary responsibilities are for the development, review, and approval of graduate courses and new graduate programs (degrees, subplans (tracks, concentrations, and specializations), certificates, and minors), maintenance of the IU Graduate Faculty roster, and as editor of the IU Graduate Bulletin. The Assistant Dean regularly meets with IU faculty and staff for all matters related to academic affairs and provides advice on the development of new degree programs and curricula.
Department‑SpecificResponsibilities
- Assists schools, departments, and programs in the development of graduate degrees, certificates, subplans and minors.
- Manages the review of new program proposals on behalf of the Graduate School (IU Bloomington (IUB) and regional campuses) and makes recommendations for approval to the Associate Dean.
- Tracks, and maintains a log of the approval of degrees, certificates, subplans, and minors through all relevant bodies (IUB Campus Curriculum Committee, IU Academic Leadership Council, IU Board of Trustees, Indiana Commission for Higher Education, and the Higher Learning Commission).
- Submits Student Information System (SIS) coding requests for new degrees, programs, and sub-plans.
- Attends monthly Campus Curriculum Committee meetings. Keeps UGS Recorders informed of new degrees and policies.
- Responsible for the UGS review and approval of all new and change graduate course requests via CARMIn from IUB and regional campuses. Maintains list of approved courses for addition to annual bulletin.
- Maintains, edits, updates, and assists with the publication of the University Graduate School Bulletin. Responsible for requesting, reviewing, and entering annual school/department/programs updates, verification of accuracy of updates, adding sections for newly approved degrees, proofing results, and providing final approval for publication.
- Assists the Associate Dean with the review and development of all University Graduate School academic policies.
- Responsible for formatting decisions, proofing, and final approval of the bulletin.
- Maintains the roster of approved UGS Faculty. Updates Graduate Faculty information/updates on UGS website and in bulletin.
- Requests nominations for Graduate Faculty status from departmental chairs twice per year and maintains Graduate Faculty lists and works with the Office of the Vice Provost for Faculty and Academic Affairs to have updates added to the IU faculty database.
- Provides updated lists of Graduate Faculty to the University Graduate Faculty Council (GFC) and provides assistance to the GFC with elections.
- Attends monthly meetings of Graduate Faculty Council.
- Collaborates with admissions staff of UGS
- Bloomington and the Office of International Admissions on admissions issues, processes and policies, and overall admissions processes. - Works with recorders to provide guidance on day-to-day issues related to recording functions.
- Completes/approves Instructional Efforts Reports for GRAD courses.
- Handles course scheduling for GRAD courses.
- Approves routine requests and authorizes all summer scheduling for G901 special exceptions.
- Schedules, plans, organizes, and leads UGS academic affairs workshops for Directors of Graduate Study and Graduate Secretaries.
- Oversees Big Ten Academic Alliance (BTAA) Traveling Scholar Program (advises/approves student admissions to the University; requests 100 percent fee remissions for incoming students; schedules courses; assigns grades to identifier courses; reports grades to home institution; and obtains grades from BTAA universities for outgoing IU students).
- Acts as Disability Services Officer in the event that a graduate student requests services (i.e., finding available services for the student).
- Develops and implements programs and initiatives geared at enhancing and reinforcing the academic engagement and experiential learning capacity of the student experience. Projects programming outcomes at the program, department/division, or campus level.
- Interfaces directly with students, attending student programming events and gathering satisfaction feedback from student participants to implement into future student programming initiatives and objectives.
