Job SummaryDepartment Specific Responsibilities
- Assists the 21st Century Scholars program director with the planning and coordination of activities that support retention andtimely degree completion, promotion of academic achievement in the classroom, and outreach.
- Meets with prospective students and families in high schoolsvia college fairs, on-campus site visits, Scholar specific events,and off-campus designated events.
- Shares and explains the available opportunities provided through the Indiana University 21st Century Scholars Program.
- Assists with the planning and coordination of various activities that aid in college transition of first year students,such as New Student Orientation coordination and planning with University Division, coordination annual Freshman, Sophomore,Junior, and Senior orientation sessions, interfacing with other department programs ensuring communication and records maintenance,and attending scholarship banquets.
- Managse and communicate space and setup specifications,hospitality, and other logistics for program activities.
- Uses the Student Information System (SIS) and other datasystems to access confidential student records in supporting initiatives and programming as assigned by the director.
- Ensures compliance with university policy, departmental guidelines, and state and federal regulations.
- Attends meetings with campus stakeholders, assist with the development of various programs and operational materials used for promotion, outreach, and training. Interface with other Indiana University offices.
- Attends conferences organized by the Indiana Commission for Higher Education (ICHE) and other associations and groups.
- Executes all project coordination tasks needed resulting fromthe management's final decision about the project implementation.
Use sound judgement and decision-making skills when completing the assigned tasks and must identify other tasks needed to successfully complete the project coordination duty. - Program promotions among academic departments and the advisingcommunity. Responsible for the creation and designing of presentations to train partners in processes, protocol, and information regarding the 21st Century Scholars Programadvising.
- Represents the Director at meetings that he cannot attend orare determined to be necessary for the role (Bloomington Academic Advising Council (BAAC) Steering Committee, Directors of Advisingand Hoosier Link 21st Century Scholar Advising). These meetings or presentations may call for the creation of materials, and publications. Responsibilities include providing advisingcontributions to the newsletter; information gathering for the 21stCentury Scholars staff from various university departments andother entities for the knowledge base of the program.
- Assists with outreach with community events.
- Assists the director with long and short-term planning.
- Serves as a resource person for staff development needs and compilation of advising reports.
- Researches and analyzes data related to advising outcomes,gathers information about similar programs, and models advisingtechniques based around best practices with the director. Works together with the director in identifying the survey needs relatedto advising and advising services.
- Reviews, analyzes, and assesses survey data received to determine trends and needs for future survey evaluations. Findings,thoughts, ideas, and other are communicated to the director.
- Assists the Director with Academic Advisors programs and eventsassessment. Requires use of IU Qualtrics, IU AdRx, SIS, Scholar Track, and other programs. Maintains confidentiality in accordance with university and OVPDEMA guidelines and Family Education Rightsand Privacy Act (FERPA).
- May attend ICHE Meetings and Trainings to effectively serve inthis roll.
- The Assistant Director will have a selected group of students to develop programming.
