You'll serve as the central coordination point for calibration programs, balancing regulatory requirements with production schedules, technician availability, and equipment criticality while maintaining accurate records and generating compliance reports that demonstrate program effectiveness to quality assurance teams and regulatory agencies. What your day-to-day will look like:
- Develop and maintain comprehensive calibration schedules for all instrumentation systems including flow meters, pressure gauges, temperature sensors, analytical equipment, and process controls, prioritize work orders based on regulatory deadlines, equipment criticality, and production schedules, attend and assist scheduling for site shutdowns, and track calibration due dates to ensure FDA, GMP, and regulatory compliance without lapses.
- Generate compliance reports and alert stakeholders of upcoming or overdue calibrations, assign appropriate technicians to workload based on skills, certifications, and workload capacity, actively kit materials and calibration standards for scheduled workload, and assist with scheduling vendor services for external certifications and off-site calibration requirements.
- Interface with production operations to schedule work during planned downtime, collaborate with quality assurance, facility management, and department leads to coordinate facility access and prioritize critical instruments, and review calibration history data from CMMS systems to identify performance trends, failure patterns, and opportunities for schedule optimization.
- Maintain accurate records of scheduled, completed, and postponed calibration activities in CMMS systems, ensure proper documentation of schedule changes and rationale for delays or rescheduling decisions, and track all work order statuses to support compliance audits and regulatory inspections.
- Generate reports on schedule performance, compliance status, backlog levels, and resource utilization, track and report key performance indicators for program effectiveness including on-time completion rates, compliance percentages, technician productivity metrics, and calibration backlog trends to support data-driven decision-making and continuous improvement.
- Resolve scheduling conflicts and resource constraints using strong analytical and problem-solving skills, adapt to changing priorities and manage schedule disruptions effectively, communicate proactively with technical and non-technical stakeholders across departments, and build collaborative relationships that support seamless coordination of calibration activities while minimizing production impact and maintaining regulatory compliance.
