Position: Executive Recruiting Coordinator (Human Resources Coordinator)

IU HUMAN RESOURCES (UA-HUMM-IUBLA)

The Office of the Vice Provost for Faculty and Academic Affairs is responsible for working to enrich our campus community by furthering the primacy of the academic mission, advocating for faculty, and enhancing teaching and learning.

Department-Specific Responsibilities
  • Collaborates with the IUHR F100 team, school/departmental faculty and staff, and search committee members to ensure seamless communication and support for candidates throughout their on-campus visits.
  • Serves as the primary staff host, facilitating on-campus visits for all F100 candidates by ensuring candidates have transportation to and from Bloomington.
  • Hosts candidates during their campus visits, including accompanying them between meetings and ensuring meetings run on schedule.
  • Facilitates payment for meals during candidates' visits, either by reimbursing hosting faculty or attending meals to handle payment directly.
  • Collaborates with school/department IT support to manage candidate presentations, including setting up webinar Zoom spaces as needed.
  • Works with the IMU Biddle Hotel staff to ensure welcome basket materials are prepared and placed in candidates' rooms before their arrival.
  • Utilizes multiple IU systems to ensure compliance with established procedures.
  • Collaborates with OVPFAA staff to facilitate onboarding (NFO) and ongoing enrichment opportunities for all new IUB faculty and faculty hired through the F100 strategic hiring initiative.
  • Assists with event planning for NFO and other enrichment activities including scheduling venues, coordinating catering, facilitating RSVPs and distribution of tickets related to events as required.
  • Attends events to facilitate catering delivery, check in attendees, and ensure the overall quality of the engagement.
  • Facilitates all follow-up as requested.
General Responsibilities
  • Coordinates, processes, verifies, and maintains academic and/or staff HR related work, which may include but are not limited to: recruitment, training, benefits, employee relations, tenure, performance evaluations, classifications, I-9s and employee leaves of absence.
  • Researches and analyzes academic and/or staff HR related topics to help assist in resolving issues and/or creating solutions.
  • Creates, compiles, prepares, and analyzes reports and documents for academic and/or staff HR related activities.
  • Performs and may coordinate data entry for processing transactions and maintaining and keeping information current for candidates, employees and/or retirees on a variety of academic and/or staff HR issues.
  • Provides administrative and related support to other academic and/or staff HR staff.
  • Supports and maintains academic and/or staff HR programs and events; maintains up-to-date records of actions, decisions, and time frames.
  • Maintains high standards of confidentiality of all employee records and documents.
Education
  • Required: High school diploma or equivalent (such as HSED or GED).
  • Preferred: Bachelor's degree.
Work Experience
  • Required: 3 years of HR related experience.
License and Certificates
  • Required: Valid driver's license with the ability to be insured by Indiana University.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Location:

Bloomington, Indiana
Salary: $45,000 - $52,000 dependent upon experience
Some weekends and outside of normal business hours may be required.
