The Payroll & Accounts Payable Systems Administrator is responsible for the administration, maintenance, and optimization of payroll and AP systems to ensure accurate , timely , and compliant processing. This role serves as the primary system s expert, supporting payroll and AP operations through system configuration, troubleshooting, reporting, and continuous process improvement while ensuring compliance with federal, state, and local regulations.

Knowledge of Paycor is a must.

Key Responsibilities Payroll Systems Administration
  • Administer and maintain Paycor payroll systems to ensure accurate wage, tax, benefit, garnishment, and deduction processing.
  • Configure and maintain employee earnings, deductions, taxes, and pay groups in accordance with company policies and legal requirements.
  • Ensure compliance with FLSA, wage and hour laws, tax regulations, and multi-state payroll requirements.
  • Support payroll audits, reconciliations, and year-end processes (W-2s, corrections, amendments).
  • Monitor system controls, access permissions, and data integrity.
Accounts Payable Systems Administration
  • Maintain and support AP systems for invoice processing, vendor setup, payment runs, and reconciliations.
  • Ensure accurate coding, approvals, and payment processing in alignment with internal controls and accounting policies.
  • Assist with 1099 tracking, reporting, and year-end filings.
  • Troubleshoot AP system issues and coordinate with vendors or internal teams to resolve discrepancies.
Systems & Process Optimization
  • Act as the primary liaison with payroll and AP system vendors for issue resolution, enhancements, and upgrades.
  • Test system updates, patches, and new functionality; document results and implement approved changes.
  • Develop and maintain system documentation, process workflows, and user guides.
  • Identify opportunities to streamline payroll and AP processes through automation and system improvements.
  • Support integrations between payroll, HRIS, timekeeping, and accounting systems.
Reporting & Compliance
  • Generate standard and ad hoc payroll and AP reports for Finance, HR, and leadership.
  • Support internal and external audits by providing system data, documentation, and analysis.
  • Ensure system configurations support accurate financial reporting and general ledger reconciliations.
