Overall Responsibility:Position Purpose
The Technical Product Procurement Specialist is responsible for generating quotes and processing orders for clients and maintaining vendor relationships .
Position Functions
Quote Products
- Product and labor quote requests are accurately processed utilizing Solution Builders' standard deployment standards.
- Quote requests are properly prioritized, recognizing some need to be processed more quickly than others.
- Utilize Solution Builders quoting tools according to best practices for efficient and timely quoting.
- Provide feedback to client technical contacts and the proper Solution Builders staff regarding order status and delivery.
- Manage the product procurement boards in the Solution Builders ticketing system, keeping quote status accurate.
- Check in and store equipment safely on a timely basis and properly distribute it to technicians for deployment.
- Purchase all O365 licenses for clients.
Shipping, Receiving & Inventory Management
- Receive, inspect, and accurately document incoming technology products, ensuring all shipments match purchase orders and vendor documentation.
- Coordinate equipment staging, packaging, labeling, and shipping for client deployments, service requests, and project needs.
- Maintain accurate inventory records, track serialized assets, and perform regular inventory audits and cycle counts.
- Manage inventory levels, organization, and product lifecycle activities, including RMAs, warranty replacements, and asset recovery.
Coordinate Hardware and Software Agreement Renewals
- Track all software and hardware agreement renewals.
- Create quotes for renewals 60 days in advance.
- Send the renewal quotes to clients and follow up on pending quotes.
- Procure and document the renewals. If something at the client site needs to be implemented, inform the project team so the implementation can happen.
Additional Duties and Responsibilities
- Upholds the company policy guidelines as well as recommends new and improved guidelines to ensure compatibility and better service at client locations.
- Maintains current technical expertise in the rapidly changing technology of computing and utilizes state-of-the-art techniques when implementing client solutions.
- Maintains a positive attitude and positive working relationship with all departments to optimize working relationships and communication.
- Fulfills department requirements in terms of providing work coverage and administrative notification during periods of personnel illness, vacation, or education.
