Greenspring Media is seeking a highly organized, detail-oriented Sales & Marketing Specialist to support our B2C sales teams and help drive revenue across our publications, digital portfolio, and events. This role plays a vital part in keeping sales operations running smoothly, providing administrative, analytical, and marketing support that enables our representatives to focus on building client relationships and closing business.
Key Responsibilities- Provide day-to-day administrative support to assigned sales teams, including mailings, eblast creation and dissemination, filing, reporting, and project coordination.
- Generate and distribute account aging reports; proactively follow up on accounts 45-55 days outstanding and elevate as needed.
- Serve as a primary liaison with Accounts Payable/Accounts Receivable to support billing and payment processes.
- Enter client proposals and contracts into internal systems as directed.
- Create proposals, contracts, and deliverable documents for sales leadership and representatives.
- Prepare and distribute prebilling runsheets for publications, digital, and events according to production timelines.
- Ensure all required updates are entered accurately into internal systems on deadline.
- Solicit and track print and digital advertising materials, coordinating with production teams to meet deadlines.
- Prospect new business opportunities using research tools and databases; provide qualified lead lists to sales reps.
- Maintain and update competitive analysis tracking and proactively share market insights with the sales team.
- Build and manage targeted contact lists for marketing campaigns.
- Maintain an eblast calendar and distribute performance analytics after each campaign.
- Coordinate with leadership and creative teams to develop and distribute marketing materials, sell sheets, and media kits aligned with brand standards.
- Request and compile agenda items for weekly team and sales meetings and participate as an active contributor.
- Maintain organization of sales materials and competitive publications.
- Provide backup support for B2B Sales & Marketing Specialist as needed.
- Perform additional duties as assigned to support sales initiatives and company goals.
- Strong organizational, time-management, and multitasking skills with the ability to manage multiple projects and deadlines.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, Hub Spot or similar email marketing program, and comfort learning database/CRM systems.
- Ability to work independently while also collaborating effectively with cross-functional teams.
- 1-2 years of prior administrative, marketing, or sales support experience preferred.
