HILLS Properties is seeking a motivated Assistant Project Manager to support the successful planning, execution, and delivery of their upcoming Construction Projects! This role works closely with the Construction Project Manager and plays a key part in maintaining project documentation, schedules, budgets, and communication to ensure high-quality outcomes.
Responsibilities- Assisting the assigned Project Manager in the planning, execution, client satisfaction, and financial outcome of assigned construction projects.
- Ensuring that initial plans and specifications are issued to subcontractors and suppliers.
- Maintaining all document controls for the project including specifications, geotechnical reports, permits, clarifications, field sketches, inspections, daily field reports, sign‑in sheets, meeting minutes, submittal log, RFI log, change order logs, and safety meeting reports.
- Distributing and communicating all revised construction documents.
- Assisting the Project Manager with change requests and document review.
- Preparing and delivering electronic closeout and owner’s manuals in a timely manner.
- Maintaining closeout log and obtaining all closeout documents, warranties, and log information.
- Understanding and enforcing company safety rules and procedures.
- Assisting in managing the project budget by controlling expenditures, identifying work not covered by subcontractors, and overall cost management.
- Creating, coordinating, updating, and distributing project schedules (Monday, Wednesday, Friday) under the direction of PM/Super and Company SOP.
- Walking the site to review site progress daily to ensure the construction schedule is accurate and current.
- Assisting with materials and equipment orders that are released for fabrication on time for delivery as required on the job site.
- Scheduling and assisting in drafting agendas for coordination meetings, as directed by the Project Manager.
- Preparing and distributing meeting minutes.
- Utilizing Procore, Bluebeam and Excel for reporting, updating drawings, and communication purposes.
- Reviewing and preparing miscellaneous reports and forms as requested.
- Composing scope of work identifying products, specifications and performance standards and contract documents.
- Recognizing, reporting, and solving problems in a creative, positive, constructive way and making recommendations for improvements in systems, procedures, and policies.
- Checking contractors’ work for completeness and quality.
- Ensuring buildings are built per plan.
- Answering questions regarding scope of work related to executed contracts.
- Assisting the superintendent in physically setting up construction trailer and job site.
- At least 3‑5 years of experience in construction, with a preference for Multifamily construction.
- Thorough knowledge and understanding of general and subcontract documents, drawings and specifications, construction methods, and materials.
- Familiarity with a variety of the field’s concepts, methods, best practices, and procedures.
- Proficiency in Procore software.
- Proficiency with Microsoft Outlook, Microsoft Project, Word, and Excel.
- Experience with Bluebeam, MS Project & Procore, or other related construction management software preferred.
- Experience with electronic scheduling software preferred.
- Strong management, leadership, and people skills combined with excellent attention to detail.
- Excellent communication skills (both verbal and written).
- Meticulous attention to detail.
- Demonstrated dependability, flexibility, and teamwork.
- Ability to interact and communicate effectively within the organization.
- Proficient in reading, understanding, and applying blueprints and job specifications.
