Substitute Secretary/Receptionist
Position SummaryThe Substitute Secretary/Receptionist provides temporary secretarial support to the educational process. Duties include performing essential administrative tasks to ensure smooth office operation and a friendly environment for students, staff, and visitors.
Essential Functions- Greet and assist students, parents, staff, and visitors; answer phones and direct calls; disseminate information.
- Operate standard office equipment, sort and distribute mail, and maintain confidentiality of information.
- Compose and transcribe correspondence, manage messages, and communicate with internal and external parties.
- Input data into computer systems, manage files, and maintain accurate records.
- Assist with coordination of daily workloads, scheduling, and other duties as assigned by supervisors.
- Demonstrate strong people skills when interacting with diverse populations and clear written communication.
- Use computers, office software, and digital tools for data entry and document preparation.
- Manage tasks, prioritize workloads, and maintain efficient office flow.
- Ensure accuracy in data entry, record keeping, and document processing; exercise discretion with sensitive information.
- Perform other related duties as assigned to support the office or department.
Minimum Qualifications
Skills, Knowledge, and Abilities
- Operating office equipment and maintaining confidentiality.
- Basic math, reading and following instructions.
- Scheduling activities, collating data, and working with diverse individuals.
- Problem‑solving to identify issues and select action plans.
- Adaptability to changing priorities, effective communication, meeting deadlines, and teamwork.
Job‑related experience not required;
Secretarial/Receptionist experience preferred.
High school diploma or equivalent.
