Position Title:Human Resources Office Assistant
Location: Onsite at Canyon Labs in Bluffdale, Utah
Schedule: Monday - Friday, 8:00 AM - 5:00 PM
Hourly Pay Range: $24.00 - $28.00
Job OverviewThe Human Resources Office Assistant serves as a key resource for employees, candidates, managers, and visitors by providing administrative support across HR functions while managing front desk operations. This role helps create a positive employee and candidate experience through recruiting support, onboarding coordination, employee engagement activities, benefits administration, and day-to-day office support at the Bluffdale site.
Primary Responsibilities Front Desk Operations- Serve as the first point of contact for visitors, employees, vendors, and candidates by providing a professional and welcoming experience.
- Answer, screen, and direct incoming phone calls in a courteous and efficient manner.
- Manage visitor check-in procedures and maintain front desk coverage during normal business hours.
- Retrieving mail from mailbox on a daily basis.
- Assisting Accounting with balance sheet reconciliations and annual audit of fixed assets.
- Backup for Purchasing and Accounts Payable
- Support employee recognition programs, engagement initiatives, company meetings, and site events through planning, coordination, logistics, and communications.
- Support employer branding efforts through job postings and candidate communications.
- Coordinate interview scheduling, onsite interview logistics, travel arrangements, and candidate communications.
- Assist with pre-employment onboarding processes and documentation.
- Conduct and support new hire orientation activities to ensure a seamless onboarding experience.
- Maintain accurate and confidential employee records.
- Process and track employee lifecycle transactions, including new hires, job changes, promotions, transfers, and terminations.
- Add and maintain state tax codes within the HRIS system.
- Update HR systems and organizational charts to ensure data accuracy.
- Serve as a resource for general HR and policy-related inquiries.
- Support continuous improvement initiatives related to HR processes and the employee experience.
- Respond to general employee benefits questions and inquiries.
- Assist employees during benefits enrollment periods and qualifying life events.
- Process benefit elections and updates while maintaining accurate records with benefit vendors.
- Assist with policy administration and compliance-related tracking activities.
- Support mandatory training assignments, completion tracking, and documentation.
- Help ensure HR practices remain compliant with applicable federal, state, and local regulations.
- High School Diploma or equivalent required.
- Minimum of one (1) year of Human Resources, Recruiting, Administrative, or related experience required.
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- Experience with HRIS platforms and Microsoft Office applications is preferred.
- Strong organizational, communication, and customer service skills required.
