Accounts Payable Specialist

Position Overview

The Accounts Payable Specialist is responsible for processing high-volume indirect invoices and ensuring accuracy, compliance, and timeliness within the procure-to-pay (P2P) cycle. This role supports month-end close, vendor relationships, and internal controls while maintaining adherence to company policies and accounting standards.

Key Responsibilities

+ Process a high volume of indirect invoices (both PO and non-PO) within the ERP system in accordance with established procedures.

+ Review and validate invoice coding, approval routing, and supporting documentation for non-PO invoices.

+ Perform 2-way and 3-way matching for purchase order (PO) invoices to ensure accuracy.

+ Investigate and resolve invoice discrepancies by collaborating with internal departments and stakeholders.

+ Monitor invoice aging reports and proactively escalate overdue approvals or unmatched transactions.

+ Communicate professionally with vendors regarding invoice status, payment updates, and discrepancy resolution.

+ Perform monthly vendor account reconciliations and resolve outstanding balances.

+ Ensure compliance with SOX controls, internal policies, and accounts payable best practices.

+ Track and enforce contract terms, including payment terms and early payment discount opportunities.

+ Support internal and external audit requests by providing necessary documentation.

+ Prepare and analyze accounts payable reports, including aging summaries and other financial metrics.

Required

Skills & Qualifications

+ Minimum of 2+ years of accounts payable experience, preferably in a high-volume or shared services environment.

+ Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.

+ Proficiency in Microsoft Excel, including pivot tables and VLOOKUP functions.

+ Experience working with ERP or accounting systems (e.g., Microsoft Dynamics GP/Great Plains, SAP, Net Suite).

+ Strong understanding of procure-to-pay (P2P) processes, including purchasing and inventory workflows.

+ Excellent attention to detail, accuracy, and organizational skills.

+ Effective communication skills, both written and verbal.

+ Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

+ Knowledge of SOX compliance requirements and internal accounting controls.

Preferred Qualifications

+

Experience with automation tools and reporting systems.

+ Familiarity with indirect tax regulations (e.g., VAT, GST).

+ Strong analytical skills with the ability to identify and resolve discrepancies efficiently.

+ Experience in vendor management and relationship building.

Job Type & Location

This is a Contract to Hire position based out of Boca Raton, FL.

Pay and Benefits

The pay range for this position is $24.00 - $28.85/hr.
