We are seeking a detail-oriented and organized Intake Coordinator / Scheduler to join our team. This role is responsible for managing new client intakes, coordinating schedules, and ensuring a seamless experience for both clients and caregivers within a private duty setting. The ideal candidate has strong communication skills, thrives in a fast-paced environment, and has experience working with long-term care policies.

Key Responsibilities- Manage the intake process for new clients, including collecting and verifying required documentation
- Coordinate and maintain caregiver schedules to ensure proper coverage
- Communicate effectively with clients, families, and caregivers regarding scheduling needs and updates
- Verify insurance and funding sources, including long-term care policies and Workers’ Compensation
- Ensure all client files are accurate, complete, and compliant
- Address scheduling conflicts and make real-time adjustments as needed
- Provide exceptional customer service and support to clients and internal teams
- Previous experience in an intake, scheduling, or administrative role (healthcare/private duty preferred)
- Experience working with long-term care insurance policies required
- Experience with private pay and Workers’ Compensation cases
- Strong organizational and multitasking skills
- Excellent communication and problem-solving abilities
- Proficiency with scheduling systems and Microsoft Office
- Ability to work in a fast-paced, team-oriented environment
- Strong attention to detail and ability to prioritize tasks effectively
