We are seeking a detail-oriented and organized Intake Coordinator / Scheduler to join our team. This role is responsible for managing new client intakes, coordinating schedules, and ensuring a seamless experience for both clients and caregivers within a private duty setting. The ideal candidate has strong communication skills, thrives in a fast-paced environment, and has experience working with long-term care policies.

Key Responsibilities
  • Manage the intake process for new clients, including collecting and verifying required documentation
  • Coordinate and maintain caregiver schedules to ensure proper coverage
  • Communicate effectively with clients, families, and caregivers regarding scheduling needs and updates
  • Verify insurance and funding sources, including long-term care policies and Workers’ Compensation
  • Ensure all client files are accurate, complete, and compliant
  • Address scheduling conflicts and make real-time adjustments as needed
  • Provide exceptional customer service and support to clients and internal teams
Qualifications
  • Previous experience in an intake, scheduling, or administrative role (healthcare/private duty preferred)
  • Experience working with long-term care insurance policies required
  • Experience with private pay and Workers’ Compensation cases
  • Strong organizational and multitasking skills
  • Excellent communication and problem-solving abilities
  • Proficiency with scheduling systems and Microsoft Office

  • Strong attention to detail and ability to prioritize tasks effectively
