Job Title

Assistant Property Manager

Summary

The Assistant Property Manager assists with all duties defined in the Senior Assistant Property Manager job description and performs property administrator tasks when no dedicated administrator is available. The role upholds a high level of professionalism and fosters positive relationships with tenants and clients.

Essential Functions and Responsibilities
  • Provide full administrative support, including phone support, typing, reports, filing, and distribution of correspondence.
  • Coordinate office supplies in the absence of a property administrator.
  • Assist in lease administration activities, abstracting leases and keeping the database current.
  • Prepare and maintain all property files in an orderly and logical manner, including leases and contracts.
  • Prepare and coordinate bid proposals and service contracts.
  • Obtain aging reports and follow up on all delinquencies using C&W or client‑directed policies.
  • Process invoices in accounting with appropriate backup and established procedures.
  • Coordinate tenant move‑ins and move‑outs, including furniture delivery and pickup.
  • Oversee maintenance of work‑order and purchase‑order systems.
  • Develop and maintain a comprehensive Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and tenant training programs.
  • Ensure tenant information in the database is current and up to date.
  • Update and maintain office procedures in the Property Operation’s Procedure Manual under direction of the manager.
  • Ensure Certificates of Insurance for tenants and vendors are up to date.
  • Process management and maintenance staff hours, expense reports, and check requests for review and approval.
  • Process high‑standard tenant bill‑backs (electrical usage, after‑hours HVAC, etc.) in a timely manner.
  • Assist supervisor with aspects of annual budget preparation, monthly financial reports, and bank deposits (if processed at the on‑site management office).
  • Lead regular inspections of properties with janitorial, landscape, and other service providers as directed by the manager.
  • Participate in performance oversight of all service contractors who perform contract services.

Education

High school diploma/GED equivalent;
Bachelor’s Degree preferred.

Experience

At least 1 year of real estate property management or related experience.

Additional Eligibility Qualifications
  • Proficiency in Microsoft Office Suite
  • Demonstrates initiative and meets or improves upon deadlines.
Work Environment

The job operates in a professional office environment, using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The role requires travel between properties in varying weather conditions.

Physical Demands

Employees may need to stand and walk for extended periods, ascend and descend staircases and ladders, and travel outside between buildings. The position requires about 85% sitting or standing and operating office machinery.

Other Duties

Additional duties may be assigned at any time with or without notice.

Compensation

$29.42 to $34.62 per hour, dependent on location, experience, and collective bargaining agreements.
