Position Summary
Florida Atlantic University is seeking a Financial Aid Fiscal & Personnel Operations Coordinator at its Boca Raton campus. The Coordinator serves as a central resource for fiscal, personnel, and administrative operations within the Office of Student Financial Aid, supporting strategic decision‑making through financial analysis, reporting, and key administrative processes.
Responsibilities- Oversee personnel administration and manage office supplies, equipment, and vendor communication.
- Coordinate office events, meetings, and maintain departmental calendars, schedules, and databases.
- Prepare and process purchase requisitions, reconcile P‑Card purchases, and manage travel reimbursements.
- Collect, review, and process timesheets as the main timekeeper.
- Implement and update administrative procedures, ensuring compliance with university policies.
- Organize and support financial aid events, workshops, and outreach initiatives such as Financial Literacy, Debt Management, and Scholarship Resource Center workshops.
- Prepare documentation for institutional, state, federal, athletic, and veteran association audits, including payroll certifications, telephone bills, and travel arrangements.
- Manage departmental expenses within the planned budget and analyze financial data to prepare reports, forecasts, and strategic recommendations.
- Oversight of budget transfers and reconciliation of departmental ledgers in Workday.
- Serve as backup for Financial Aid Fiscal Operations Officer and HR Partner tasks.
- Develop and prepare reconciliation reports for state and miscellaneous funds.
- Perform other job‑related duties as assigned.
Minimum qualifications include:
- Master’s degree from an accredited institution in a relevant field; or a bachelor’s degree in a relevant field with at least two years of related experience.
- Strong analytical, organizational, and communication skills.
- Experience with financial management systems such as Workday (preferred).
Salary: $62,000.00 – $64,272.00 annually.
Work schedule:
Monday – Friday, 8:00am – 5:00pm.
