Responsibilities
  • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions.
  • Book travel arrangements and prepare itineraries so off‑site meetings go smoothly.
  • Make appointments for employees and ensure the calendar is current and correct.
  • Respond to incoming phone calls and emails and make sure the right people receive all important information.
  • Keep the front office secure by ensuring all visitors follow the proper sign‑in procedures.
  • Serve as the first point of contact for clients, visitors, and callers, providing a warm and professional experience.
  • Answer and direct incoming phone calls and emails to the appropriate team members.
  • Greet and assist clients and guests arriving at the office.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain office supplies, inventory, and vendor orders to ensure smooth day‑to‑day operations.
  • Schedule meetings, appointments, and conference room usage.
  • Provide administrative support, including data entry, document preparation, scanning, filing, photocopying, and record management.
  • Assist with firm events, meetings, and travel arrangements as needed.
  • Support attorneys and staff with special projects and assigned administrative tasks.
  • Maintain organized office systems and ensure common areas remain professional and welcoming.
  • Assist leadership with operational and administrative initiatives as assigned.
Qualifications
  • Must have graduated high school, received a G.E.D. or equivalent.
  • Comfortable taking telephone calls and mitigating stressful situations.
  • 1+ year of front desk receptionist experience or related job experience preferred.
  • Proficient computer skills and knowledge of Microsoft Office.
  • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills with a professional demeanor.
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a fast‑paced environment.
  • Proficiency with Microsoft Office Suite and general office technology.
  • Comfortable handling sensitive and confidential information.
  • Previous experience as a receptionist, administrative assistant, office coordinator, or similar administrative role preferred.
  • High school diploma or equivalent required; additional administrative training or education is a plus.
  • Candidates must be located in Florida and able to work on-site.
Compensation

$55,000 - $58,000 yearly
