Sales and Marketing Coordinator

• Process sponsor ships from contract through fulfillment.
• Coordinate sponsor onboarding and maintain accurate internal documentation.
• Manage the Exhibits inbox by routing inquiries to the appropriate sales representative or program lead.
• Monitor sponsorship inventory and update availability as opportunities sell out.
• Learn and manage Marketo for sponsor communications.
• Customize automated confirmation and follow-up emails.
• Build and launch email campaigns using graphics and content templates provided by our team.
• Schedule and monitor email sends.
• Learn and manage Squarespace updates.
• Update meeting websites as sponsor ships sell out.
• Remove unavailable opportunities.
• Ensure meeting information remains current and accurate.
• Coordinate and distribute Basecamp follow-up tasks after each meeting.
• Help ensure action items are assigned and tracked appropriately.

• Bachelor's Degree preferred
• Excellent written and verbal communication skills
• Familiarity with Microsoft Office applications (Excel, Word, PowerPoint, etc.)
• Detail oriented with the ability to multitask.

Demonstrates expertise in managing sponsorship processes, coordinating communications, and maintaining accurate documentation. Proficient in utilizing tools like Marketo and Squarespace for effective campaign management and sponsor engagement.
