The Office Manager role at Aire Serv® is a full-time, on-site position based in Boca Raton, FL. The Office Manager oversees daily office operations, including scheduling appointments, coordinating service calls, and maintaining accurate records and files. This role manages administrative workflows, handles incoming calls and correspondence, supports service technicians with documentation, and ensures efficient use of office equipment and resources. The Office Manager interacts with customers, processes payments, and assists with invoicing and basic reporting.
This position also supports hiring and onboarding logistics, helps maintain a professional office environment, and collaborates with leadership to improve office procedures and customer experience.
- SERVICE TITAN EXPERINCE MANDATORY / HVAC experience is preferred
- Strong Communication and Customer Service skills to interact professionally with clients, team members, and vendors.
- Proficiency in Administrative Assistance and Office Administration, including scheduling, recordkeeping, and organizing workflows.
- Comfort with Office Equipment and basic computer applications (e.g., email, spreadsheets, CRM or dispatch systems).
- Previous experience in an office management, administrative, or customer service role, preferably in a service or trades environment.
- Ability to prioritize tasks, manage time effectively, and maintain attention to detail in a fast-paced setting.
- High school diploma or equivalent required; additional education or relevant certifications in business or office administration are a plus.
- Reliability, integrity, and a commitment to providing inclusive, respectful service to all customers and colleagues.
- Answer inbound and make outbound customer calls professionally
- Schedule appointments and dispatch technicians
- Manage leads, inventory, and daily work assignments
- Complete work orders and maintain accurate records
- Resolve customer concerns and follow up on service requests
- Support sales and marketing efforts to generate additional business
- Organize office operations, procedures, and purchase orders
- Assist with other administrative duties and cross-training as needed
